Receptionist with Clerical Duties
Location: Belfast/Greater Belfast
Hours: 25 hours per week, with the possibility of additional hours
Salary: £12.71 per hour
Contract: Temporary
About the Role:
MPA Recruitment are currently seeking a Receptionist with Clerical Duties on behalf of our client.
The successful candiDate will provide a professional and efficient reception and administrative service within a busy healthcare environment, acting as the first point of contact for visitors, staff and service users.
This is a varied role combining reception, customer service, administration, security and health & safety responsibilities. The successful candidate will need to be approachable, organised and confident when dealing with a wide range of people, while maintaining confidentiality, dignity and professionalism at all times.
Key Responsibilities:
Reception & Customer Service
- Welcome, greet and direct visitors and staff to the appropriate location.
- Deal with telephone enquiries professionally and redirect calls where appropriate.
- Provide information and assistance to visitors and staff.
- Maintain up-to-date knowledge of services and activities.
- Provide a professional and welcoming reception service.
- Deal sensitively and appropriately with individuals who may have urgent or particular needs.
- Assist in managing and diffusing potentially difficult or aggressive situations.
Administration & Clerical Duties
- Provide general clerical and administrative support.
- Operate the reception area as a designated collection point for deliveries, parcels and other items.
- Check in external staff and visitors and issue visitor passes where required.
- Maintain accurate records relating to visitors and Centre activities.
- Provide a Help Desk service, including reporting maintenance and building faults and following up outstanding issues.
- Liaise with Support Services and other departments to assist with the smooth running of the service.
- Order stock and supplies as required.
- Take bookings for meeting, interview and accommodation rooms.
- Assist with communicating transport information for staff and visitors.
- Provide administrative support to Centre Management as required.
- Provide reception cover at other locations when required.
Security, Health & Safety
- Monitor reception and visible areas and respond appropriately to any concerns.
- Monitor CCTV where required and report any untoward incidents.
- Act as a point of contact for departments in accordance with security procedures.
- Deal with car parking queries and incidents, including damaged vehicles, blocked-in vehicles and lost or stolen property.
- Issue and collect keys and maintain appropriate records.
- Programme and reorder staff proximity readers where required.
- Support Centre Management with building safety and security systems.
- Assist the Centre Manager in their role as Nominated Fire Officer.
- Report accidents and incidents in line with relevant policies and procedures.
- Monitor First Aid boxes to ensure they are appropriately stocked.
What We're Looking for?
Applicants must be able to demonstrate:
- 4 GCSEs at Grades A-C, including English Language and Maths, or equivalent/higher qualification, OR one year's experience in a clerical/administrative role.
- Experience using at least one Microsoft Office application or equivalent.
- Ability to work effectively as part of a team.
- Ability to use own initiative.
- Good organisational skills with the ability to prioritise workload.
- Effective communication skills.
Desirable Criteria
- Previous experience of working in a pressurised environment.

Additional Information:
- An Enhanced Access NI Check may be required for this role.
