Job Description

Joining the University Hospitals Coventry and Warwickshire NHS Trust as a Receptionist in the Outpatients Department, you will be the first point of contact for patients and visitors, ensuring smooth operation of the department and upholding UHCW values.

Key responsibilities:

  • Welcome, receive and greet all visitors, resolving routine enquiries and complaints professionally while following local standards and procedures.
  • Collate and enter information into computerised information systems with accurate, up to date records.
  • Track notes in and out of the department on the computer system.
  • Implement and maintain manual and electronic information and filing systems.
  • Book ambulance patients in and out through the Patient Transport Services.
  • Book interpreters for future appointments via the Language Line service.
  • Liaise with internal and external areas to ensure all health records, referrals and documentation are prepared for clinic appointments.
  • Distribute referrals to the appropriate consultant for prioritisation and facilitate the booking process in line with local and national targets.
  • Notify patients of their appointments and reschedule as required.
  • Support new team members by demonstrating and explaining routine departmental practices and procedures.
  • Provide cover in the absence of other team members.
  • Undertake any other tasks relevant to the post in accordance with its grade and nature.

Qualifications and experience:

  • Basic numeracy and literacy qualifications.
  • NVQ Level 2 or willingness to work towards NVQ Level 2.
  • Experience working in a busy administration environment and in a customer facing role.
  • Experience within the NHS.

Knowledge and skills:

  • Proficiency in Microsoft Office packages (Word, Excel).
  • Excellent written and verbal communication skills.
  • Good keyboard skills (RSA Level 2 or equivalent).
  • Strong attention to detail.
  • Ability to prioritise and organise own workload.
  • Empathy and an understanding of varied patient needs.
  • Ability to track information accurately.
