Job Title: Receptionist
Reports to: Office Manager
Job Purpose: London School of Management Education is a fast-growing independent Higher Education College in London registered with the Office for Students, offering training in Business Management, Health and Social Care Management, Hospitality and Tourism, Accounting and Finance and Education. The College is currently seeking a Receptionist to serve as the primary point of contact for College enquiries and to provide general support to all management staff, with a key focus on maintaining high standards in the reception of both in-person and phone enquiries. To deliver friendly, efficient service and to create a warm and welcoming atmosphere for all of our visitors, staff and students.
Duties and Responsibilities
- Meeting and greeting visitors in a professional and courteous manner
- Greeting, assisting and/or directing students and visitors
- Attending to phone calls, directing them and taking accurate messages
- Ensuring the College Reception area is clean and presentable at all times
- Promoting a professional image of the College at all times and being knowledgeable about the courses offered and keeping up to date with the courses offered and pricing, to provide accurate information, on request
- Always adhere to College policies and procedures
- Be involved and contribute at team meetings
- Providing assistance to the Executive Director, Principal and other Senior Staff as required
- Maintaining an appointment diary either manually or electronically
- Ensuring knowledge of staff movements in and out of the organisation
- Monitoring visitor access and maintaining security awareness
- Monitoring and maintaining office equipment, including an adequate inventory of office supplies
- Maintaining sign-in Fire register, coordinating the Fire Register and the Visitor Book to ensure that all students/visitors sign in appropriately. Be fully conversant with all emergency and evacuation procedures
- Communicating with the Office Manager when the reception area is going to be unmanned and ensuring that a back-up person has taken responsibility for the area during the College Receptionist's absence
- Attending to general email enquiries and ensuring appropriate responses are communicated
- Regular checking of the suggestion box
- Attending to incoming posts and mail
- Maintaining the Car Park register and notifying of any irregularities
- Providing administrative support to the Faculty
- General administration, including filing and photocopying, typing/data input as required
- Maintaining the College Academic system and student records, if necessary
- Liaising with the LSME Management and key staff in the College on administrative and support matters
- Generating and distributing the agenda and minutes of any College meetings and related correspondence
- Arranging bookings of meetings as directed
- Dealing with internal (students) and external general enquiries.
Person Specification
- The ideal candidate must have a Level 3 or equivalent or higher qualification
- The candidate must be computer literate (using Word, Excel and Outlook) and be able to work independently with little or no supervision
- Professional conduct in all interactions with College staff and students
- Respect for and good rapport with students
- Punctuality and ability to follow procedures
- Flexibility, reliability, confidentiality, honesty and trustworthiness, respectful, initiative and problem-solving skills, and ability to work to deadlines and prioritising skills
- Ability to maintain thorough and organised student records
- Ability to work with diverse groups of people
- Excellent ICT skills to help update students' assessments, portfolios and support students in using ICT
- High regard for colleagues and absolute commitment to "team values" such as diversity and mutual support.
- At least three years of experience as a Receptionist, Customer Relations, or Front Office is desirable.
