Job Description

We are looking for a QS Administrator to join our Limerick Office in the Install Department team on a permanent contract.

This is an administrative support role rather than a quantity surveying position, ideal for someone with strong attention to detail who thrives on keeping contracts, correspondence and commercial documentation running smoothly behind the scenes.

You will work closely with the Commercial team, Sales and Installation teams, helping to ensure our contract administration and financial processes stay accurate, on track and audit ready.

Responsibilities
  • Maintain and control contract documentation, subcontracts, purchase orders and the Contract Tracker on IMS, in line with Orona's procedures
  • Issue and track documents through the team's document management system, ensuring timely internal and external distribution
  • Prepare commercial correspondence, formal notices and letters, and keep accurate records of contract, architect's and site instructions and variations
  • Compile and quality check cost reports, tender documents and contract programmes
  • Log and track subcontractor and supplier invoices and maintain payment schedule trackers to support application and certification deadlines
  • Maintain cost management/financial systems, variation registers, daywork sheets and change control logs, supporting monthly commercial reporting
  • Maintain subcontractor pre qualification, insurance and compliance records, flagging expired or outstanding items
  • Provide general team support: shared inboxes and calendars, meeting minutes and action logs, internal registers and filing, and liaison across finance, procurement, site teams and the Commercial Director/Senior QS

The Ideal Candidate
  • Ideally you will have experience in a similar role from within the lift or construction industry
  • Strong attention to detail and accuracy
  • Professional communication and interpersonal skills
  • Confident user of the MS Office suite (Word, Excel, PowerPoint)
  • Able to manage multiple tasks and deadlines simultaneously, a self starter who works well with minimal supervision while being easy to work with across teams
