You will join one of the largest Real Estate Investment Trusts in the world as we expand into UK and European markets, including new offices at 3 St. James's Square. Position Overview:

The Property Management Analyst will provide administrative, clerical, and project support to the Property Management team, supporting multiple property managers within a large portfolio.

Key Responsibilities:
  1. Property Management Tasks: Support day-to-day property management operations.
  2. Special Projects: Engage in special assignments, demonstrating problem-solving and creativity.
  3. Policy Implementation: Assist in rolling out policies and procedures.
  4. CapEx Administration: Support major works and capital expenditure projects.
  5. Vacant Unit Management: Oversee vacant units, including business rates, utilities, security, repairs, and maintenance.
  6. Lease Review: Conduct lease reviews for compliance and improvement opportunities.
  7. Tenant Applications: Process tenant applications, licenses, subleases, and agreements.
  8. Inspection Coordination: Arrange and conduct property inspections.
  9. Financial Collaboration: Manage invoices and coordinate with finance for payments and cost allocation.
  10. Work Order Monitoring: Track work orders and update Property Managers.
  11. Asset Value Enhancement: Support initiatives to preserve and increase asset value.
  12. Communication Management: Handle post, LOAs, addendums, and welcome letters.
  13. Fee Tracking: Monitor and invoice Property Management fees.
  14. Compliance Management: Issue non-compliance letters and manage tenant obligations.
  15. Ground Rent Management: Oversee ground rent payments.
  16. Insurance and Damage Administration: Handle insurance queries and damages.
  17. Tenant Support: Respond to tenant requests.
  18. Business Rates Administration: Assist with business rates data.
  19. Arrears Management: Support rent and service charge arrears resolution.
  20. Scheduling and Travel Coordination: Assist with scheduling and travel logistics.
  21. Dilapidations Administration: Support dilapidations management.
  22. System Updates: Maintain property management systems.
  23. Sustainability Initiatives: Contribute to environmental efforts.
  24. GDPR Compliance: Ensure data handling complies with GDPR.
  25. Vendor Liaison: Coordinate with external partners.
  26. Service Charge Management: Oversee service charges.
  27. Internal Reporting: Prepare reports for internal use.
  28. Additional Duties: Perform other tasks as assigned.
Candidate Requirements

Knowledge, Skills, and Abilities

  • Experience in commercial real estate or property management, either from consultancy or client side.
  • Experience with commercial real estate documentation, including leases and licenses.
  • Intermediate Excel skills for data analysis and presentation.
  • Ability to handle a high volume of work, meet deadlines, and work under pressure.
  • Excellent organizational, coordination, and administrative skills.
  • Strong communication and written skills.
  • Ability to work independently, prioritize, and adapt quickly.

Desirable but not essential:

  • Bachelor's degree in Real Estate or equivalent experience.
  • RICS qualification.
  • Knowledge of a second European language.
  • Experience with Salesforce or Yardi systems.
