Overview

Property Administrator, South East
Location: Waterford
Contract: Full Time, Permanent
The purpose of this role is to optimise the functionality of the housing department and to enable clear lines of communication between teams to be maintained.
Responsibilities- Assist the Property Team by actively monitoring and managing tenant rent accounts, ensuring all information is up to date and any issues are addressed promptly.
- Communicate with tenants by phone or letter about their rent accounts, keeping them informed of arrears, payments due, or any required actions.
- Support staff with the accurate recording and ongoing monitoring of Rent Arrears Agreements.
- Complete and maintain spreadsheets of payments received when required, ensuring accurate financial tracking.
- Carry out bank lodgements as needed, in line with organisational financial procedures.
- Receive maintenance requests from tenants, assess them, and allocate contractors when repairs fall under FHA responsibility.
- Enter all maintenance requests into Affinity with clear and accurate detail.
- Prepare invoices for payment, ensuring they meet internal financial requirements.
- Track completed repairs, confirm satisfactory completion, and update Affinity records accordingly.
- Assist the team in tracking void properties, ensuring refurbishments are completed on time, and support reporting to the Property Operations Manager.
- Manage incoming tenant queries by phone, ensure correct filing of documentation, arrange appointments as needed, and provide general administrative support to the Property Team.
- Comply with Focus Ireland policies, attend supervision and meetings, participate in required training, follow Health & Safety procedures, positively represent Focus Ireland, and undertake additional reasonable duties as required.
- Proficiency in MS Suite, i.e., Excel, Word and Outlook
- Excellent attention to detail

- Experience in working for a voluntary housing organization (Desirable)
- Familiarity with financial software systems e.g Exchequer, Sage (Desirable)
