Description

part time Project Co-ordinator 3 days a week in Limerick (3-6 years relevant experience required)

Key Responsibilities

Programme Coordination & Delivery

  • Coordinate the end-to-end rollout of the AI Academy across all three sites
  • Work with multiple external vendors to plan and schedule learning offerings
  • Ensure all training sessions are appropriately resourced, scheduled, and executed

Vendor & Stakeholder Management

  • Act as a key point of contact for external training providers and internal stakeholders
  • Collaborate with vendors to develop and execute class schedules and learning plans
  • Maintain strong communication channels to ensure alignment and timely delivery

Communications & Campaign Management

  • Partner with vendors to design and execute internal advertising campaigns to promote programmes and maximise class attendance
  • Maintain clear and engaging communication with employees regarding offerings, schedules, and updates

Participant Support

  • Serve as the primary contact for employee queries relating to the AI Academy
  • Manage learner registrations and attendance tracking
  • Support situations where participants cannot attend, including rescheduling or alternative arrangements

Logistics & Operations

  • Oversee room bookings, set-up, and all associated logistics across sites
  • Ensure training environments are prepared and fully functional
  • Manage materials, equipment, and any on-site coordination required

Funding & Administration

  • Support administration of training-related funding, ensuring compliance with internal processes
  • Maintain accurate records and documentation

Events & Engagement

  • Plan and organise graduation ceremonies and related recognition events
  • Contribute to creating a positive and engaging learner experience

Additional Support

  • Provide support to other site projects during periods of lower AI Academy activity

Skills & Experience Required

  • Proven experience in a project coordination, programme management, or similar role
  • Excellent organisational skills with strong attention to detail
  • Strong communication and interpersonal skills, with the ability to engage a wide range of stakeholders
  • experience managing multiple vendors or external partners
  • Ability to manage competing priorities and work independently
  • Proficient in planning, scheduling, and logistics coordination
  • experience supporting learning/training programmes or events is highly desirable
