Description

The Professional Services Administrator / Assistant is required to provide key administrative and business support for a couple of Vice Presidents in EMEA. The EA will have the ability to exercise good judgment and confidentiality in a variety of situations, with strong written, verbal communication, administrative, and organizational skills, along with the ability to maintain a realistic balance among multiple priorities. This is a full time, permanent role and you will be required to work 3 days a week from our office in Farnborough.

A Typical Day in the Life Includes:
  • Arrange and manage rapidly changing and complex calendars on a global scale
  • Manage domestic and international travel, flights, hotels, and ground transportation
  • Participate in management team calls, issue agendas, take minutes and monitor actions
  • Event coordination and project management for executive(s) and customer visits
  • Coordinate divisional workshops, team events, offsites and town halls
  • Process expense reports, ensuring accurate cost allocation and adherence to expense policy
  • With extensive experience/knowledge in Tecom/Freezone visa processing
  • Ensure all employees' new visa/ renewal processes are completed in a timely manner
  • Issue HR letters (e.g., salary certificates, employment letters, NOCs)
  • Review and prioritize emails and follow up on urgent action items
  • Assist with PPT presentations
  • Communicate in a positive and professional manner with internal and external clients on behalf of their executive
  • Type letters, reports and other correspondence as required
  • Provide general administrative support
Basic Qualifications:
  • Proven experience of supporting senior executives within a high-paced environment
  • Exceptional written and oral communication skills
  • High level of flexibility and adaptability
  • The ability to multitask and prioritize an everchanging workload
  • Excellent word processing and IT skills
  • The ability to work under pressure and to tight deadlines, strong sense of urgency
  • Good organizational and time management skills
