South Warwickshire NHS Foundation Trust (SWFT) is looking to recruit an enthusiastic, self motivated apprentice within the Postgraduate Medical Education Department at Warwick Hospital. This is a fantastic opportunity to develop administrative and customer service skills, learning on the job while having the chance to obtain a nationally recognised qualification.
RoleThe post holder will provide high quality, comprehensive administrative support to the Postgraduate Medical Education Department, working alongside team members to maintain a high customer service level.
Support and training will be provided to enable development of skills. This will include regular supervision, study sessions and meetings with an assessor from the apprenticeship provider to gain a Level 2 Customer Service Practitioner or Level 3 Business Administration qualification, depending on previous qualifications. The decision on programme enrollment will be discussed at offer stage.
The role is a 15 month fixed term contract (dependent on programme enrolled) on 37.5 hours per week (Monday Friday) with time for formal study towards the apprenticeship framework. The candidate will be entitled to 27 days annual leave plus 8 statutory holidays.
Main duties of the jobThe apprentice will be employed by SWFT to undertake a 15 to 18 month apprenticeship programme, depending on the level of qualification enrolled. The programme will produce a recognised national apprenticeship qualification in Level 2 Customer Service Practitioner or Level 3 Business Administration, depending on previous education. During the apprenticeship you will learn to complete a range of skills and tasks within timescales to a competent standard.
- Attend college/study sessions as required.
- Work with an assessor/mentor to develop a work based portfolio.
- Undertake work based assessments.
- Complete assignments/projects relating to the apprenticeship standards.
- Present evidence portfolios for assessment within specific time frameworks.
- Be trained to carry out all aspects of administration for the Department and acquire knowledge of administrative systems, office procedures and data input procedures through on the job training.
Main Duties:
- General secretarial duties to support the department.
- Stock management, reporting and ordering stock across the county for all clinical sites.
- Assist with administration support of the department.
- Deal with patient enquiries, face to face and telephone.
- Manage referrals, appointment booking, waiting lists and discharge patients.
Communication and Relationship skills:
- Excellent customer service, written and verbal, in person, telephone and email, using tact, discretion and sensitivity.
- Receive and communicate technical and non technical information with a range of personnel across the Trust.
- Keep accurate and complete records consistent with legislation, policies and procedures.
- Ensure confidentiality of information at all times.
Knowledge, Training and Experience:
- Complete required elements of the apprenticeship standard within the allocated time frame, including functional skills (if required), end point assessment and standard assessment criteria.
- Attend college/study sessions as required.
- Develop skills, knowledge and experience in all aspects of NHS administration through on the job training.
- Utilise knowledge and skills gained at college/training in practice.
- Undertake statutory and mandatory training as required.

- Must not have any Level 2 qualification in a similar subject.
- Willingness to work towards Level 2 Customer Service Practitioner Apprenticeship or Level 3 Business Administration, depending on prior qualifications.
- Minimum of 4 GCSEs Grade A-C, including English and Maths, or equivalent qualifications and grades.
- Experience dealing with people.
- Basic IT equipment skills.
- Previous paid or voluntary work experience.
- Understanding of the Data Protection Act and confidentiality.
- Team working experience.
- Willingness to learn new skills and apply them in the workplace.
