Job Description

AIXI Labs is seeking operational support to help build their team as a personal assistant for the Executive Director (Cole Wyeth). As the org is small and this will be less than 20 h per week, applicants who desire a full time role will spend the other half of their time working as an assistant to a research director in PrincInt. Location: London, UK

Visa / Work authorization: We are unable to provide visas until later this year. Candidates with UK work authorization are given an advantage, but visa may be provided for truly exceptional candidates.

Type: Part Time; 50% FTE if only for AIXI; full time if for AIXI and PrincInt.

Start date: As soon as possible.

Salary range: Salary is dependent upon location and experience. Our estimated range is £45,000 - £50,000 gross for the full time role.

Core Responsibilities
  • Draft and edit organizational communications including announcements, job descriptions, and internal documentation, coordinating with team members to ensure accuracy and tone
  • Research and compile information to support organizational decision making, including visa and immigration requirements, travel options, venue sourcing, and vendor comparisons
  • Plan and coordinate team travel, including flights, accommodation, ground transportation, and itinerary management for individuals and groups
  • Support retreat and off site planning end to end, from venue research and logistics coordination to on site support and post event wrap up
  • Set up and maintain communications infrastructure and tooling as organizational needs evolve

This role is partially remote (for PrincInt or when Cole is abroad), so we're looking for people who can thrive in an async environment and are genuinely excited to work on AI safety.

Requirements
  • Must have
    • Experience running general logistics and comfortable moving between research, drafting, booking, and coordination tasks
    • Strong written communication
    • Experience coordinating travel or operations across time zones and jurisdictions, including familiarity with visa and immigration research processes
    • Discretion regarding sensitive organizational and personnel information
  • Great to have
    • Familiarity with the EA or AI safety ecosystem
    • Comfort with communications tooling setup such as Slack, Notion, email infrastructure, or similar
    • Research synthesis ability

Your starting salary range depends on role, prior experience, and location. Our estimated range is £45,000 - £50,000 (gross) for the full time commitment.
