People Experience Assistant

Norton Rose Fulbright is a global law firm with more than 3,000 lawyers advising clients across locations worldwide. Our Newcastle office is currently recruiting for a People Experience Assistant to support transactional processes across the employment life cycle and to provide administrative support to the People & Culture function and the wider business where appropriate. The role reports to the People Experience Supervisor in Newcastle and will provide HR service delivery to employees across the London and Newcastle offices and broader business, including execution of operational HR activities and query resolution.
Key Responsibilities
- Execute operational HR activities and resolve queries with a customer-centric mindset.
- Deliver high-class customer service to all employees and clients via multiple channels including online case management and telephone as part of a team.
- Act as first point of contact for HR queries, offering basic advice, guidance and troubleshooting on policies, processes and HR technology.
- Maintain employee files, keep employee data up to date in Workday, and produce letters and employee correspondence.
- Provide support to the People & Culture team on administrative tasks; liaise with internal and external clients as needed.
- Collaborate with the systems team to deliver data audits and quality checks to maintain the integrity of HR data.
- Build knowledge of enabling technology, systems and processes to drive adoption and provide efficient service.
- Identify service issues, propose improvements and support implementation of changes.
- Contribute to ad-hoc project work as required.
- Deliver operational activities across the employment life cycle including joiners, movers, parental leave, absence and leavers: prepare and send contract paperwork, file documents, and ensure documentation is complete.
- Set up new joiners on the HR system, coordinate weekly induction, and work with payroll, facilities and IT to support onboarding.
- Administer employee changes to maintain accurate data; ensure right-to-work and visa requirements are compliant.
- Coordinate background checks for all new joiners and verify supporting documents.
- Monitor planned and unplanned absence and manage return-to-work dates.
- Support the delivery of cyclical processes across the People & Culture function.

- Administrative experience with strong organization skills and the ability to prioritize and manage time effectively.
- Enthusiastic team player; able to work in a fast-paced environment with demanding internal clients.
- Strong IT skills (Excel, Word, Outlook).
- Accurate, detail-oriented approach; experience in an office environment is ideal but not essential; interest in HR and willingness to develop within the team.
- Flexible approach to hours; prepared to work late when business needs dictate.
- Experience using Workday is desirable.
