Part Time Operations - Finance & Commercial
This role focuses on all aspects of payroll operation and administration for the company, including balancing payroll accounts. It is responsible for Imagination UK's full-time payroll for approximately 200 employees and leads the relationship with our payroll provider Payfit. The workload is expected to be manageable within 4-5 half-days from Monday to Friday.
Key Responsibilities- Manage the entire monthly payroll process, including BACs payments and HMRC submissions, using Payfit and HSBCNet.
- Review and action all payroll changes within Payfit, such as joiners, leavers, salary or benefit modifications, in collaboration with P&C and finance teams.
- Generate salary variation reports and facilitate dual payroll approvals from P&C and finance.
- Maintain and reconcile the Group pension scheme, including auto-enrolment, supplier portal uploads, and records.
- Create monthly payroll journals in Payfit and process them through the accounting system (Deltek Maconomy).
- Reconcile payroll-related balance sheet accounts, liaising with benefit suppliers as needed.
- Calculate cross-company payroll recharges and record intercompany journal entries.
- Assist in managing P&C budgets and related accounting tasks.
- Coordinate payroll inductions for employees, discussing pension and benefit options with P&C.
- Communicate payroll updates to employees via HiBob and handle payroll queries.
- Process payments for incidental payroll or confidential invoices and handle payroll taxes monthly and annually.
- Ensure compliance with year-end reporting requirements such as P60s, P11Ds, and P35.
- Serve as the primary contact for the payroll provider, Payfit.
- Maintain payroll process documentation, prepare payroll deliverables, and liaise with auditors during annual audits.
- Manage HMRC payroll taxes account.
- Stay updated on payroll and tax legislation changes and implement necessary updates in collaboration with P&C and Finance.
- Handle ad hoc payroll and employment tax tasks as they arise.
- Ensure compliance with company policies and procedures, including GDPR, ISO, and Information Security training.
- Deep understanding of payroll legislation, taxes, and PAYE procedures.
- CIPP qualification is advantageous but not essential.
- Experience with end-to-end payroll processes and payroll systems like Payfit and HiBob is beneficial but not mandatory.
- Experience in HR, accounting, or bookkeeping is valuable.
- Knowledge of pension administration and auto-enrolment processes.
- Proficient in Microsoft Office and Google Suite, especially Excel and Sheets, with data analysis skills like VLOOKUP.
- Strong organizational and time management skills, with the ability to prioritize and meet deadlines.
- Excellent written and verbal communication skills, active listening, and ability to handle queries from all employee levels.
- Self-motivated, proactive, and able to work independently and in teams.
