Working closely with the Director of People Excellence, you will deliver operational excellence, maintain payroll and benefits accuracy, and drive new initiatives - from supporting HRIS/payroll system changes, improving process, to contributing to the creation of our Brand's global rewards and benefits strategy. Description As our Pay & Reward Specialist, you will be the trusted expert, ensuring accurate, compliant, and timely payroll delivery across the UK and Ireland while providing high-quality insights to support our global reward and benefits strategy.
Working closely with the Director of People Excellence, you will deliver operational excellence, maintain payroll and benefits accuracy, and drive new initiatives - from supporting HRIS/payroll system changes, improving process, to contributing to the creation of our Brand's global rewards and benefits strategy. Our trusted Pay & Reward Specialist will enable strategic decision-making through strong data, reliable processes, and proactive issue resolution.
What Will You Do? Payroll Leadership
- Lead the end-to-end payroll process for all UK and Ireland colleagues (circa 600), ensuring accuracy, timeliness, and compliance with HMRC, ROI revenue authorities, and other statutory requirements.
- Oversee the strategic relationship with our outsourced payroll provider (Zellis), managing SLAs, challenging inefficiencies, and creating new ways of working to overcome any issues.
- Lead payroll-related change projects, including potential HRIS/payroll system transformation, vendor tender processing selection, and implementation.
- Conduct regular payroll audits and risk reviews, implementing robust controls to ensure accuracy, compliance, and GDPR data security.
- Oversee statutory payments such as SSP, SMP, SPP, and all HMRC/Revenue submissions including RTI, P11D, and year-end activities.
- Work with the Director of People Excellence to support the creation of our Brand's first global reward policy and framework.
- Provide market research, benchmarking data, and operational recommendations to inform strategic decision-making.
- Ensure all reward initiatives are accurately implemented and reflected in payroll and benefits systems.
- Conduct salary benchmarking and market analysis to inform the Director of People Excellence and People Business Partners.
- Implement approved pay changes, promotions, and adjustments, ensuring accuracy in payroll.
- Monitor internal equity and highlight potential inconsistencies to our relevant People Business Partners.
- Transform the Brand's annual pay review and annual/quarterly Bonus and commissions schemes, ensuring we remain competitive in the industry.
- Support the strategic review of pension schemes by providing data, market comparisons, and operational insights.
- Administer pension and benefits processes, ensuring accuracy, compliance, and high-quality service for colleagues.
- Manage day-to-day vendor relationships, escalating and resolving issues to maintain service quality.
- Proactively seeking out new opportunities for benefits and enhancing colleague experience such as financial wellbeing and wellness.
- Produce accurate payroll, reward, and benefits reports for Finance, People Business Partners, Leadership, and statutory bodies.
- Manage quarterly/yearly statutory and audit reporting, such Gender Pay Gap reports.
- Monitor payroll KPIs and compliance metrics, highlighting trends, risks, and opportunities for improvement.
- Maintain accurate and accessible records to support governance and reporting needs.
- Remaining up to date with UK and Ireland's legislation to ensure compliance
- Act as the first point of contact for payroll, reward, and benefits queries, championing our rewards and engaging our colleagues.
- Develop clear and engaging communications to ensure colleagues understand pay, benefits, and reward processes and payments.
- Support People Business Partners with operational queries and reward-related data for their client groups.
- Ensure all duties carried out and actions completed in every aspect of your role, contribute to the short and long-term Sustainability Goals set-forth by the ELEMIS - Climate, Biodiversity & People Pillars.
The Perfect Candidate
- Proven experience managing payroll in-house or with an outsourced provider, ideally Zellis or equivalent.
- Strong knowledge of UK payroll legislation, tax codes, NI, and pension administration; familiarity with Ireland payroll regulations desirable.
- Experience supporting HRIS/payroll transformation projects
- Practical understanding of reward, benefits, and compensation processes, with experience in salary benchmarking.
- Experience in managing vendor relationships to maintain service delivery and resolve issues.
- Strong analytical and problem-solving skills with excellent attention to detail.
- Proficiency in HRIS, payroll systems, and Excel for data management and reporting.
- Skilled communicator who can engage colleagues and stakeholders at all levels in a clear and relatable way.
- Highly organised, able to manage multiple priorities while maintaining accuracy and compliance.
