As a supporter of our clinical workforce within the Divisions, you will play a crucial role in ensuring the smooth and efficient operation of our hospital wards, directly contributing to the well-being and comfort of our patients and their healthcare journey.

Patient administration underpins the patient journey and supports clinical teams in delivering high-quality patient care. Effective and efficient patient administration supports management by ensuring a high standard of data quality and by best using capacity and resources.

The post holder is responsible for providing a professional, comprehensive and efficient administrative service, effectively delivered to all patients and members of the Department.

This involves delivering a comprehensive administrative service to a specialty team, providing a full service to the consultant team and managing the entire patient pathway in line with the Elective Access policy.

Job responsibilities
  • Provide primary administrative support to all clinical staff, primarily consultants and all patients under their care, as well as corresponding support and other administrative duties as required.
  • Act as the first point of contact on the telephone and by email for patients, relatives, GP services and any other relevant agencies, answering or redirecting queries from elsewhere in the trust.
  • Ensure all relevant patient information, including referrals, diagnostic results and other correspondence is available in a timely manner.
  • Work closely with the wider administrative team and clinical staff to ensure patients are seen within local and national access targets, expediting appointments and procedures as required; assist the team leaders with managing the patient tracking list (PTL) by monitoring all elements of the patient pathway, including diagnostic investigation, correcting data quality issues and escalating any patients who cannot be seen within the relevant Elective Access targets.
  • Ensure all clinic letters are finalised and sent out in a timely manner.
Person Specification Experience
  • Excellent communication skills both written and verbal.
  • Experience working with the public in a professional setting.
  • Good level of IT skills.
  • At least 5 GCSEs.
  • Flexible, positive and professional attitude, keen to learn and progress within the role.
  • Experience with Electronic Patient Record (EPR) systems.
  • Knowledge of patient tracking list (PTL) and validation.
  • Experience working with sensitive data.
