Introduction

We are seeking a highly organised and proactive Personal Assistant to support the Management Board and Mission Leads within a fast paced, high performing environment. Reporting to the Chief Operating Officer and working closely with the Executive Assistant to the CEO, this role provides comprehensive administrative and diary management support to a group of eight senior executives. This is an excellent opportunity for an experienced assistant who thrives in a collaborative setting, enjoys managing multiple priorities, and is confident operating at executive level.

Job Summary

The Personal Assistant will be responsible for delivering efficient and professional administrative support to members of the Management Board, ensuring smooth day to day operations. The role involves complex diary management across multiple time zones, coordinating travel and logistics, and supporting executive level relationships.

In addition, the role will include office management responsibilities and occasional support to the CEO during the Executive Assistant's absence. The ideal candidate will be detail oriented, discreet, and capable of working independently while contributing to a high performing team.

Key Responsibilities
  • Provide comprehensive support to Management Board members, with varying levels of assistance required
  • Manage complex diaries and scheduling across multiple time zones
  • Coordinate travel arrangements, including detailed itineraries and regional tours
  • Submit expense claims, raise purchase orders, and process invoices for payment
  • Organise logistics for off site meetings and events
  • Provide general administrative support as required
  • Coordinate with the CEO's Office to maintain strong executive level relationships
  • Record and capture Management Board interactions using Salesforce
  • Provide cover and support to the CEO during periods of absence of the Executive Assistant
Requirements
  • Proven experience supporting multiple executives or teams in a Personal Assistant or similar role
  • Strong diary management experience, including managing complex and changing schedules
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Excellent organisational and time management skills, with the ability to manage multiple priorities
  • Strong verbal and written communication skills
  • High level of discretion and ability to handle confidential information
  • Ability to research and coordinate complex travel arrangements
  • Proactive, self motivated, and able to work independently as well as part of a team
  • Experience using Salesforce is highly desirable
Preferred Qualifications
  • Previous experience supporting senior executives or board level stakeholders
  • Experience working in a fast paced, corporate environment
  • Familiarity with CRM systems such as Salesforce
