At Blackfriars Medical Practice, we are looking to appointan experienced and motivated Operations Manager to support the Business Managerand Assistant Practice Manager with the day-to-day running of our friendly,forward-thinking practice.

Management of chronic disease recalls, QOF & BeCCor

Updating Practice Policies as and when required

Support senior management with daily operational activities

This role is vital in supporting the senior management teamand ensuring the smooth running of administrative and IT processes within thepractice.

Job responsibilities

Main duties of the job

Management of chronic disease recalls, QOF & BeCCor

Updating Practice Policies as and when required

Support senior management with daily operational activities

This role is vital in supporting the senior management teamand ensuring the smooth running of administrative and IT processes within thepractice.

Operational & Admin

Assist in the preparation of agendas, minutes and follow upactions

Maintain accurate, compliant records (including CQC and GDPRrequirements)

HR & Staff

Support induction and onboarding of new students

Support staff with queries and day to day operational needs

Support in the set-up IT access, user accounts and equipment

Patients & Practice

Assist with achieving contract targets, extended access andenhanced services

Handle complex queries from staff, patients and externalparties

IT & Systems

Support maintenance of EMIS, Docman and other clinicalsystems

Troubleshoot IT and telephony issues, liaising with serviceproviders

Support digital initiatives including AI, online triage anddigital

Update the practice website, lead social media and producemonthly patient newsletter

Person Specification Qualifications
  • A good standard of education including GCSEs (or equivalent) in English and Maths (Grade C/4 or above).
Experience
  • Previous experience in an administrative role within a GP practice, NHS, or healthcare setting.
  • Experience supporting senior management with administrative tasks.
  • Knowledge of NHS policies, CQC requirements, and GDPR compliance.
  • Experience handling sensitive and confidential information.
  • Excellent organisational and time management skills.
  • Ability to prioritise workload and meet deadlines in a busy environment.
  • Knowledge of GP Practice clinical systems (e.g., EMIS & Docman)
  • Ability to handle and resolve patient and staff queries professionally.
  • Minute-taking and report preparation experience.
  • High level of professionalism and confidentiality.
  • Strong interpersonal and communication skills.
  • Proactive and adaptable approach to work.
  • Ability to work independently and as part of a team.
  • Commitment to continuous learning and professional development.
  • Calm and efficient under pressure.
  • Understanding of NHS complaints handling processes.
