At Abbey Medical Centre, we are looking to appoint an experienced and motivated Operations Manager to support the Business Manager and Deputy Practice Manager with the day-to-day running of our friendly, forward-thinking practice.

This is a varied and pivotal role where every day is different - and where your contribution genuinely matters.

We anticipate the salary to be within the range of £27,375 - £31,286 although there may be some flexibility with this for the right candidate.

Main duties of the job

This role is vital in supporting the senior management team and ensuring the smooth running of administrative and IT processes within the practice.

You will oversee key administrative functions and compliance tasks and act as a point of contact for staff and patient queries as well as supporting the reception team.

Operational & Admin

Support senior management with daily operational activities

Manage administrative workflows, correspondence and reporting

Prepare agendas, minutes and follow up actions

Maintain accurate, compliant records (including CQC and GDPR requirements)

Assist with monthly PPA submissions

Oversee stock control and ordering of office supplies

HR & Staff

Support induction and onboarding of new staff

Arrange and monitor mandatory training compliance

Support staff with queries and day to day operational needs

Set up IT access, user accounts and equipment

Patients & Practice

Support chronic disease recalls, QOF & IIF

Assist with achieving contract targets, extended access and enhanced services

Handle complex queries from staff, patients and external parties

IT & Systems

Support maintenance of EMIS, Docman and other clinical systems

Troubleshoot IT and telephony issues, liaising with service providers

Manage smartcards, account permissions and equipment functionality

Support digital initiatives including AI, online triage and digital

Update the practice website and lead social media

We have a very motivated Patient Participation Group led by an exceptional chair who work hard to support the practice with driving improvements to patient care. The group also undertake projects on behalf of the practice.

Person Specification Qualifications
  • A good standard of education including GCSEs (or equivalent) in English and Maths (Grade C/4 or above).
  • A relevant qualification in Business Administration or a related field.
  • Further qualifications in Healthcare Administration (desirable)
Experience
  • Previous experience in an administrative role within a GP practice, NHS, or healthcare setting.
  • Experience supporting senior management with administrative tasks.
  • Knowledge of NHS policies, CQC requirements, and GDPR compliance.
  • Experience handling sensitive and confidential information.
Skills & Knowledge
  • Excellent organisational and time management skills.
  • Ability to prioritise workload and meet deadlines in a busy environment.
  • Knowledge of GP Practice clinical systems (e.g., EMIS & Docman).
  • Ability to handle and resolve patient and staff queries professionally.
  • Minute-taking and report preparation experience.
  • Understanding of NHS complaints handling processes.
