About the RoleWe are looking for an Operations Administrator to support our daily office operations and act as a key coordination point across the organisation. This person will provide administrative support to multiple departments, manage shared systems such as email and scheduling tools, and help maintain accurate records and processes. The role is essential in ensuring the smooth running of the office and supporting staff, volunteers, and organisational activities.
Key Responsibilities Finance Support- Assist with basic bookkeeping, scheduling and finance related administration.
- Maintain accurate financial records and support document preparation as required.
- Monitor shared email accounts, ensuring messages are circulated promptly to the correct teams.
- Manage incoming and outgoing correspondence (emails, letters, packages, calls).
- Support routine checks, logs and documentation related to workplace safety.
- Coordinate basic training schedules or inspection records if required.
- Manage vetting requests from start to finish, ensuring compliance with procedures.
- Maintain secure and accurate vetting records and follow up on required documentation.
- Assist with event planning and logistics, including booking venues, travel and supplies.
- Support communication and coordination with volunteers and participants.
- Oversee the shared office space scheduling tool, managing all bookings and making sure rooms are used effectively.
- Coordinate the maintenance and repair of office equipment and facilities.
- Track and order office supplies to ensure adequate stock levels.
- Support inventory control, packing and dispatch of merchandise orders.
- Keep accurate records of stock levels and ensure timely fulfilment.
- Maintain accurate and high quality file and record management systems.
- Update and manage company databases with personnel, financial and other data.
- Carry out additional administrative duties as required by management.
- Strong organisational and time management skills.
- Ability to work independently with minimal supervision.
- Trustworthy, self motivated and reliable.
- Competent with office software and data entry.
- Clear communicator with strong attention to detail.
- Flexible and able to support a variety of tasks and teams as needed.
- Experience in administrative or operations support roles (office, facilities, finance or similar).
- Confidence in using office software, online scheduling tools and database systems.
- Excellent written and verbal communication skills, with the ability to share information clearly and professionally.
- Strong attention to detail in record keeping, data entry and document management.
- Ability to manage multiple tasks, projects and deadlines in a busy environment.
- A collaborative, proactive approach, with a positive attitude and passion for supporting organisational impact.
- Ability to handle confidential information with discretion and professionalism.
- Knowledge of basic finance administration, health and safety, or compliance processes is an advantage, but not essential.
- A natural organiser with a talent for creating order, systems and efficiency.
- Proactive, resourceful and able to anticipate operational needs before they arise.
- Collaborative and dependable, supporting teams and contributing to a positive working environment.
