The Role
As our Operational Support Executive, you will play a vital role in ensuring our B2B and B2C clients and candidates enjoy a seamless onboarding and user experience.
This is a varied, fast-paced position where you will support the Key Account Manager (KAM), manage client accounts, coordinate administrative processes for our Psychological Services, and assist with key operational systems projects. Because we support a global market, you will enjoy flexible working hours to accommodate early starts or later finishes when required.
Key Responsibilities
- Client & Candidate Onboarding: Assist the KAM by guiding new clients through the onboarding journey, creating ADAPT user accounts, and providing "getting started" resources.
- Responsive Support: Provide first-class customer support to resolve user issues, manage invoices/credit notes, track customer service KPIs, and continuously improve support resources.
- Psychological Services Coordination: Manage the administration for psychology operations, including maintaining the training registers, scheduling sessions, issuing certificates, and managing e-commerce logs.
- Systems & Data Management: Play a key role in implementing our new Contract Management System (OneFlow) and ensuring our HubSpot CRM data is meticulously accurate and up-to-date.
What We Are Looking For
Essential:
- At least 18 months of experience working in an office environment.
- Educated to A-Level (or equivalent), with GCSEs (or equivalent) at Grade C/4 or above in Maths and English.
- Fluency in English with exceptional written and verbal communication skills (excellent spelling and grammar).
- Proficient in Microsoft Office, including strong data-handling skills in Excel.
- A professional, mature brand ambassador with impeccable attention to detail.
- A self-motivated problem solver who can juggle multiple priorities in a fast-paced environment.
- Flexibility: Willingness to adapt working hours to support clients across global time zones.
Desirable:
- Working knowledge of HubSpot (or similar CRM systems).
- Experience in the aviation sector or assessment deployment.
- Experience using LinkedIn for professional networking.
