Job overview

We are seeking an experienced and highly organised Office Manager with a strong litigation support experience to join our Blanchardstown office. This role is ideal for a proactive individual who can efficiently manage office operations while providing critical support to our legal team in litigation matters.

Key Responsibilities
  • Oversee day to day office operations, ensuring efficiency and effectiveness in workflow.
  • Provide administrative and litigation support to solicitors, including document management, case preparation, and court filings.
  • Assist with client onboarding and client communications.
  • Supervise administrative projects and coordinate team activities so as to ensure compliance with deadlines and a proactive legal service to clients.
  • Implement, maintain, and drive office policies and procedures.
  • Assist with drafting legal correspondence, pleadings, and court documents.
  • Liaise with clients, court officials, and other stakeholders.
  • Maintain, ensure consistent application and use of management systems and client databases throughout the office team.
  • Assist in meeting the Key Performance Indicators of the firm across all areas of practice including conveyancing, probate, and wills, and litigation.
  • Team Leadership and Collaboration: Ability to lead and motivate administrative staff, fostering a collaborative and productive work environment.
  • Communication Skills: Proficiency in conveying information clearly and effectively to colleagues, clients, and stakeholders, both verbally and in writing.
  • Attention to Detail: Keen eye for accuracy, particularly in managing legal documents and ensuring compliance with procedures.
  • Adaptability and Flexibility: Capacity to adjust to changing priorities and handle unforeseen challenges in a dynamic legal setting.
  • Client Service Orientation: Commitment to providing high quality service to clients, addressing their needs professionally and promptly.
  • Minimum five years legal experience in a solicitor's office.
  • Strong written and oral skills.
  • Prior office management experience, preferably in a solicitor's office.
  • Excellent organisational and multitasking skills.
  • Strong knowledge of legal terminology, case management software, and Microsoft Office Suite; experience with Keyhouse is an advantage.
  • Ability to work independently and collaboratively in a fast paced environment.
  • Exceptional communication and interpersonal skills.
  • A high level of discretion and confidentiality.
