Office Manager

We are seeking a proactive, solutions focused Office Manager to take ownership of office operations, compliance, supplier management, and process improvements. This role is ideal for someone who enjoys autonomy, can identify problems before they escalated, and thrives on making systems more efficient.
You'll report directly to senior leadership and play a key role in improving the smooth running, safety, and sustainability of the organisation.
Key Responsibilities- Office Health & Safety - Review risk assessments, update processes, ensure compliance with legislation, and implement proportionate improvements.
- Office Organisation - Tidy, reorganise, and rethink storage; potentially coordinate contractors for layout improvements.
- Handling Enquiries - Manage incoming calls and emails, answer via FAQs, gather information from team members, and update CRM (training provided).
- Supplier Management - Maintain supplies, set up direct debits, review value for money, and recommend changes.
- Environmental & Supply Chain Impact - Engage suppliers regarding carbon emissions and support environmental data collection.
- General Office Administration - Keep the office running smoothly day to day.
- Software Licence Administration - Assign licences, manage admin rights, and suggest improvements to licensing processes.
- Staff Equipment Management - Proactively review IT and equipment needs and purchase replacements within policy and budget.
We're looking for someone who is confident, proactive, and able to take ownership without waiting for instruction.
- Demonstrable skills in Office Management or Senior Administration
- Able to identify problems, propose solutions, and report back clearly
- Confident handling enquiries and gathering information from colleagues
- Understanding of H&S at Work Act and proportionate risk based improvements
- Strong supplier relationship skills, including negotiation
- Comfortable managing low value contracts (repairs, small renovations)
- "Get it done" mindset - acts proactively and independently
- Desirable: experience with carbon reporting or environmental action plans
- 3-4 days per week
- 1 day per week can be worked remotely
- Contract expected to run until at least September
- Weekly Pay
£36,000-£38,000 (pro rata) 3-4 Days per Week Temp Contract to September
