What You'll Do

  • Manage the day-to-day operations of the Dublin office, ensuring facilities, workplace services, and the overall environment align with organizational and Vanguard standards
  • Oversee vendor relationships and workplace services, including office supplies, kitchen amenities, and external service providers
  • Coordinate workplace experience and space management, partnering with Global Workplace Experience (GWx) and supporting onboarding/offboarding with HR, IT, and key stakeholders
  • Administer workplace compliance and financial processes, including DSE equipment procurement, invoice reconciliation, budget tracking, and coaching staff on travel and expense policy adherence
  • Support administrative talent initiatives in Dublin, contributing to recruitment, assessment, onboarding, and collaboration with the European admin and office manager community to maintain consistent standards and share best practices
  • Serve as the primary liaison for the Dublin office, coordinating with internal teams to align on business needs, workplace policies, safety coverage (First Aid and Fire Marshal), and operational planning
  • Support workplace culture and operational initiatives, including events, recognition and engagement activities, and special projects such as office openings and workplace transformation programs

  • Demonstrated experience in office management or workplace operations
  • Strong leadership and team management skills
  • Excellent organizational, communication, and stakeholder-management abilities
  • Proficiency in budgeting, invoice reconciliation, and vendor management
  • Knowledge of workplace compliance and a proactive, solutions-focused mindset
