Office Coordinator - Property Management Team

Location: Battersea Park / Wandsworth / Knightsbridge / Islington / Little Venice. (These are the property management hubs the role could be based in either) Hybrid working after probation (2 days from home per week)

Hours: Monday - Friday, 40 hours per week
Salary: £26,436 + 5% Commission

Chestertons is seeking an organised and proactive Office Coordinator to join our Property Management Team. This is an excellent opportunity for a motivated individual with strong administrative skills and property experience to play a key role in supporting a busy, high-performing department.

The Role

As Office Coordinator, you will be central to the smooth running of the Property Management function. You will provide comprehensive administrative, financial and client service support, ensuring our landlords and tenants receive an efficient and professional experience at every stage of the tenancy lifecycle.

This is a varied role requiring strong organisational ability, attention to detail and the confidence to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Managing incoming calls and directing enquiries appropriately
  • Maintaining detailed and accurate file notes and CRM records
  • Producing tenancy documentation, standard correspondence, check-in/check-out paperwork and invoices
  • Coordinating property visits and tenancy appointments
  • Notifying utility providers of tenancy changes
  • Producing rent arrears reports and assisting with the collection of outstanding payments
  • Monitoring contractor debt and liaising with suppliers to resolve queries
  • Assisting with monthly landlord reporting
  • Supporting managed-only tenancies, renewals and tenancy swaps
  • Working closely with Client Accounts and other internal departments
  • Maintaining departmental standards and compliance procedures

About You

The ideal candidate will demonstrate:

  • Previous experience in property management, lettings administration or a similar role
  • Excellent organisational and time management skills
  • Strong written and verbal communication
  • High proficiency in Microsoft Office, particularly Excel
  • Confidence working with CRM systems and databases
  • A proactive, solutions-focused mindset
  • A professional and customer-focused approach
