Role: Team Leader Reporting To: Assistant Manger

Overall Purpose of Role :
Ensuring complete Customer Service to the Customer
Managing workflow within the team
Indentifying / implementing efficiency gains to processes
Assist with any issues that arise, whether internal or external
Handling any personnel requirements & issues
Financial Responsibility for GP on Shipment Files Key Relationships:
Clients / Assistant Manager / Team Members / Other office colleagues / GCS / Transport Dept / Suppliers

Key Tasks Staff

• Hold Monthly 1 to 1 KPI Meetings and Quartely 9 box reviews
• Manage Training Plans and help liaise / conduct required training
• Assist with Interviews and probation review process
• Motivate staff & keep a high level of morale within the team
• Ensure team is adequately covered between 08:00 & 17:30 - including WFH
• Manage Holiday / Sickness
• Support members of the team with issues from other depts/offices/suppliers/customers and elevate as necessary
• Handle any minor staff issues/disputes/complaints etc and elevate if required

Customers

• Client Relationship Management
• Handle any minor customer issues/disputes/complaints etc and elevate if required
• Onboard new customers
• Attend any customer meetings as necessary

Operations

• Monitor Dwell Time Report to avoid unnecessary charges being incurred by Client / EV Cargo
• Monitor Booked waiting BOL & Clearance to avoid charges being incurred from missing BOLs/ no clearance
• Monitor Unbooked Reports to avoid missed containers and incurring charges
• Monitor Vehicle Detention Report to capture all additional invoicing required
• Operator Workload Management - Monitor team workloads to manage team resources, assist if necessary or elevate if reqd
• Overtime Management (Team Resources) - Ensure team/branch resource utilised before approving Overtime, manage Overtime load to spread across team
• Monitor Shipment/TB Collection Port Comparison using TB Filter
• Manage Not Assgined to an Operator Filter to avoid work being missed

Finance

• Manage Team Non Compliance - Daily Check
• CMPing Jobs - Responsible for Shipment GP confirmation and file completion
• Outstanding WIP Management - monitor report to make sure all WIP's invoiced as early as possible
• Outstanding Credit ACR's - Monitor report and chase for Credits to be received for ACR's
• Task List Management - Allocate Tasks to correct Operator and Monitor Completion
• Claims & Queries - Manage claims & queries raised from Clients on AR invoices holding up payments
• Intercompany Billing - Manage team intercompany invoices being pulled through in timely manner
• Monitor Additional Charges Spreadsheet to make sure all charges picked up for team
• Revisions - Report on revisions to job files, manage additional invoicing required and report findings back to management

Customs

• Complete Customer Specific Customs Audits and Monthly Team Audit
• Ensure SDCP deadlines are met, both internal and those defined by Customs
• Manage Entry Templates in ASM Sequoia
• Support & monitor the C18 / C285 / Post Entry Amendment process
• Promote accurate use of Customs tariff within the team to both increase efficiency & Customer service levels

Operational/Company Knowledge

• Ensure company/divisional/office policy is passed on, understood and followed by the team at all times
• Identify procedural inadequacies & offer suggestions for improvements
• In depth knowledge of CNS, Destin8, CHIEF, Datafreight &/or Ricardo
• A good understanding of the legality of BOL's
• In deph knowledge of how LIMA works & how SCM operate
• Good working knowledge of Home Use . CFSP / Warehousing / Bonds / T1's / NCTS
• Understand Incoterms
• In depth knowledge of transport incl. vehicle & train planning & utilisation
• Understanding of sailing schedules including feeder vessel operations
• Good working knowledge of Cargowise
