National Training Quality Administrator

Duration: Specified Purpose Contract (12 months maternity cover)
Reporting to: National Training & Quality Manager
SUMMARY OF ROLEThe National Training Quality Administrator Role is responsible for providing administrative support for quality processes within the National Training and Quality teams aligned to the Irish Red Cross requirements related to the PHECC Quality Review Framework (QRF) and Governance Validation Framework (GVF) standards.
ROLE RESPONSIBILITIES- Maintain the IRC QMS platforms of MS SharePoint and Moodle with accurate, compliant and up to date information.
- Maintain the register of policies, procedures, protocols and guidelines (PPPG) with proactive follow up of review schedule.
- Generate the required reports for privileging, practitioner operational register (POR), qualifications, mailing lists. Maintain and update training course material and presentations to ensure brand compliance to Irish Red Cross standard.
- Ensure regular and accurate updates of the IRC published training calendar.
- Create and process MS forms for a variety of events and data streams.
- Provide collaborative administration support including minutes of meetings, follow up of action points and proactive engagement with the following
- National Training Compliance Officer (NTCO)
- Training Working Group (TWG)
- TWG sub groups
- Quality Assurance Working Group (QAWG)
- Clinical Governance Working Group (CGG)
- Prepare the annual applications for Controlled Drugs to the Health Products Regulatory Authority (HPRA) to ensure licensing at the approved IRC sites for review and approval by the National Training Compliance Officer.
- Ensure accurate data entry and filing of PCR and ACR forms of patient care service.
- Collate and prepare relevant information for internal clinical audits as required.
- Work actively towards the achievement of the Irish Red Cross goals.
- Undertake training and development as required.
- Abide by and uphold the Principles of the International Red Cross Red Crescent Movement.
- Undertake any other reasonable work related duties and responsibilities assigned by the relevant line manager that are consistent with the nature of the job.
- Good Communication, interpersonal and customer service skills to provide quality administrative services and liaise with a diverse group of stakeholders
- Proven highly developed organisational and time management skills
- Excellent records management and general office administration
- Basic proficiency in MS office or similar software and experience using databases
- Creative thinking with robust problem-solving
- Understanding of regulated standards
- Experience of working in the community & voluntary sector advantageous but not a prerequisite
- Up to 5% employers' contribution to a company contributory pension scheme
- Closure of the office on Good Friday, plus two additional 'privilege days' to be used at Easter and Christmas respectively.
