MPA Recruitment is currently seeking experienced Medical Secretaries / Administrators to join the Community Paediatrics team based at the Arches Wellbeing & Treatment Centre in Belfast.
This is an excellent opportunity for candidates with strong administrative and secretarial experience who are confident working in a busy healthcare environment and communicating with patients, medical professionals and external organisations.
The successful candidate will provide a comprehensive secretarial and administrative service to Consultant Medical Staff and the wider clinical team, helping to ensure the smooth and efficient delivery of patient services.
Key Responsibilities:- Provide comprehensive secretarial and administrative support to Consultants and the wider clinical team.
- Manage diaries and appointments to support effective time management.
- Act as a key point of contact for patients, relatives, GPs, hospital staff and external organisations.
- Handle telephone calls and correspondence, taking messages and ensuring appropriate follow-up.
- Process clinic and discharge letters using relevant IT systems.
- Maintain accurate electronic and manual records in line with Trust policies and procedures.
- Process referrals and complete relevant administrative checks.
- Manage waiting lists and patient records in accordance with agreed procedures.
- Liaise with internal departments, hospitals, GPs and other external organisations.
- Extract, collate and summarise information for reports and returns.
- Attend meetings and take appropriate action including minute takingwhere required.
- Support quality assurance and records management processes.
- Provide day-to-day support and guidance to administrative staff where required.
- Assist with the induction and training of new staff.
- Provide cover for colleagues during periods of annual or sick leave.
- Previous experience in a medical secretarial, healthcare administration or similar administrative role.
- Strong organisational and time-management skills.
- Excellent communication and interpersonal skills.
- A good telephone manner and confidence dealing with patients, healthcare professionals and members of the public.
- Strong IT and Microsoft Office skills.
- Excellent attention to detail and the ability to maintain accurate records.
- Ability to prioritise a busy workload and work effectively to deadlines.
- Previous NHS / Health & Social Care Trust experience would be advantageous.
- Experience working with healthcare IT systems, referrals, waiting lists or patient records would be beneficial.
- Ability to work effectively as part of a wider administrative and clinical team.
- A Basic Access NI maybe required for this role.
- The successful candidate will initially be based at the Arches Wellbeing & Treatment Centre, although there may be a requirement to provide cover at other Wellbeing & Treatment Centres, including Carlisle Centre, depending on service requirements.
