We are looking for a motivated and enthusiastic person with the ability to work as part of our administrative team. The successful applicant will need to be computer literate and have good communication skills. They will also provide a courteous, efficient and effective reception service to all patients and other staff members.
Main duties of the jobTo assist in the smooth running of the practice in general, and the reception area in particular. To project a positive and friendly image to our patients and other professionals who may contact us either in person or via the telephone.
Previous experience is desirable, however full training will be provided.
Job Responsibilities- Reorganise and support the practice in the reception area. Report any problems to the Practice Manager.
- Maintain confidentiality regarding patient diagnosis and treatment at all times.
- Answer incoming calls to the practice within the agreed timescale (within 3 5 rings).
- Make new and follow up appointments. Receive and direct patients on arrival.
- Record all requests for visits and inform the GP as soon as possible.
- Take dictation from the GP and ensure referral/private letters are typed within 48 hours.
- Conduct preliminary investigations if any complaints are made against the Practice, and then pass onto the Practice Manager.
- Print computerised repeat prescriptions (and deal with EPS) and ensure they are checked and signed before handing to patients.
- Update change of names and addresses on computer when notified by patients.
- Tidy and ensure safety of consulting rooms at the end of each surgery.
- Ensure the security and maintenance of the practice filing system.
- Responsible for stock checking of stationery and prescriptions.
- Attend training courses as determined by the Practice Manager.
- Cover other members of staff for holidays, sickness and emergency or for any other reason. Liaise with all other staff and also to do split shifts. Responsible for the smooth running of the practice on a daily basis and ensure cover at all times.
- Scan and read coding hospital post.
- Summarise patients records using the appropriate policy.
- Ensure a correct record of solicitors' requests for photocopies is kept and the correct fee is recovered.
- Ensure all medical records are tagged and kept in chronological order (10 medical records tagged on a weekly basis).
- Ensure all tasks delegated by the Practice Manager or GP are completed appropriately in the best possible manner (cytology recall etc.).
- Take responsibility of identifying and reporting anything in relation to this. Keep abreast of new changes and attend any training sessions as identified.
- Any other duties asked by Doctor or Practice Manager.
- Overall responsibility for reporting faults with equipment to EMIS and keeping an up to date log book to ensure follow up of complaints.
- Ascertain a good working knowledge of the computer system to assist in training other staff.
- Meet the future demands in the Practice and ensure that accurate data is entered into the system.
- Any other duties as deemed appropriate.
- Experience of working in primary care.
- Experience of working in a GP practice.
- GCSE grade A to C in English and Maths.
- AMSPAR Medical Receptionist Diploma.
- Previous experience in working with the general public.
- Previous reception work.
- Good interpersonal and communication skills.
