Job Description

The Logistics Specialist will be responsible for planning and executing shipments for commercial goods, clinical supplies and other materials, as required to meet business objectives and patient needs in accordance with Good Manufacturing Practice and Good Distribution Practice.

Essential Functions / Responsibilities
  • Plan, coordinate, and execute global shipments (air, road, and sea) across commercial and clinical supply chains.
  • Manage end-to-end shipment lifecycle, including booking, documentation, tracking, and final delivery confirmation.
  • Ensure customs compliance, including preparation and review of import/export documentation (commercial invoices, packing lists, certificates of origin, etc.).
  • Liaise with customs brokers, freight forwarders, and regulatory authorities to support timely clearance and resolve customs-related issues.
  • Ensure adherence to international trade and transport regulations, including Incoterms, export controls, sanctions, and country-specific requirements.
  • Coordinate with CMOs, manufacturing sites, depots, and distribution centers to align shipment readiness and delivery schedules.
  • Monitor shipment progress against service level agreements (SLAs) and proactively manage delays, deviations, or risks.
  • Maintain accurate and compliant shipment records in SAP and relevant quality systems (eQMS).
  • Ensure all shipment documentation meets GxP audit readiness standards.
  • Support and monitor temperature controlled shipments, ensuring compliance with validated shipping lanes and excursion management processes.
  • Ensure compliance with dangerous goods (DG) and controlled drug transport requirements, including proper classification, documentation, and handling.
  • Communicate effectively with internal stakeholders (Supply Chain, Quality, Procurement) and external partners.
  • Contribute to continuous improvement initiatives within logistics operations, including cost optimisation, service improvement, and risk mitigation.
  • Support deviation investigations, CAPAs, and audit/inspection readiness related to logistics and distribution activities.
Required Knowledge, Skills, and Abilities
  • Strong understanding of pharmaceutical supply chains, including clinical and commercial distribution models.
  • Solid knowledge of GDP/GxP requirements and their application in logistics operations.
  • Working knowledge of customs regulations and international trade compliance (import/export controls, documentation, tariffs, Incoterms).
  • Understanding of transport regulations, including IATA, ADR, and IMDG (as applicable).
  • Experience with temperature controlled / cold chain logistics.
  • Familiarity with controlled drug and dangerous goods shipment requirements.
  • Proficiency in SAP and quality systems (eQMS).
  • Strong organisational skills and attention to detail, particularly in documentation and compliance.
  • Ability to manage multiple shipments and priorities in a fast paced environment.
  • Strong problem solving and stakeholder management skills.
  • Effective written and verbal communication skills.
Required / Preferred Education and Licenses
  • Diploma/degree in business management, engineering, manufacturing or equivalent.
  • Additional logistics or import/export qualification.
