Job summary

We are seeking a proactive and detail-oriented HR & Payroll Officer to support the smooth and effective functioning of our Human Resources department. The HR & Payroll Officer will play a vital role in the efficient administration of FI Group Payroll and HR processes, including onboarding, Monthly payroll data collation, Managing employee records, training coordination, general HR operations, benefits administration.

Duties and responsibilities

Payroll Administration

  • Prepare the monthly payrolls for multiple UK Entities accurately and within the required deadlines and submit them to the third-party provider.
  • Handle payroll related queries and resolve basic issues efficiently.
  • Run and update monthly Absence reports and ensure any payroll impacts are recorded correctly.
  • Prepare and issue pension letters in line with auto-enrolment and employee lifecycle events.
  • Maintain and update payroll records including starters, leavers, changes and deductions.
  • Maintain confidentiality of payroll and employee information.
  • Process Statutory payment (SSP/SMP/SPP).
  • Manage Payroll/Pension documentation.
  • Support payroll reconciliation activities by checking data accuracy and flagging discrepancies.

HR & Benefit Administration

  • Maintain and update employee records on the HR system and ensure all documentation is accurate and up to date.
  • Process HR documentation such as changes to terms and conditions, promotions, and leavers.
  • Administer Employee Benefits including PMI, Flu Vaccines and other Ad hoc tasks.
  • Assist with compliance training management, including scheduling, tracking completions, and following up on outstanding modules.
  • Facilitate MHFA (Mental Health First Aid) group projects, providing administrative and coordination support.
  • Provide HRIS support, including data transfers, system admin tasks, and maintaining employee e-folders.
  • Assist with ESFA data collection and submissions in line with reporting deadlines (August and November).

Employee Support

  • Act as a first point of contact for general HR and payroll queries from staff, escalating where appropriate.
  • Monitor and manage the HR inbox, responding to queries in a timely manner and signposting employees to the appropriate HR Business Partner or specialist where needed.
  • Support in managing HR policies and procedures, ensuring consistency and compliance with employment law and best practice.
  • Attend disciplinary, grievance, and investigation meetings as required to take accurate and confidential notes.
  • Coordinate and deliver orientation sessions for new starters to ensure a smooth onboarding experience.

Learning & Development

  • Coordinate internal and external training sessions, including scheduling, communications, and feedback collection.
  • Maintain training records and support the team in tracking learning and development progress.

HR Projects & Initiatives

  • Assist with the planning and delivery of HR projects and initiatives (e.g., employee engagement, wellbeing, DE&I).
  • Support internal communication efforts related to HR initiatives and organisational updates.
Qualifications and skills

Essential:

  • Previous experience in an HR & Payroll administrative or coordination role.
  • Minimum 1 year experience in payroll and have a basic understanding of UK payroll legislation
  • Strong organisational skills with the ability to manage multiple tasks simultaneously.
  • Excellent attention to detail and accuracy.
  • Strong interpersonal and communication skills.
  • Confidentiality and discretion in handling sensitive information.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and HRIS systems.

Desirable:

  • CIPP Level 3 qualification (or working towards it).
  • Experience working with HR software (e.g., BambooHR, Workday, PeopleHR).
  • Knowledge of current UK employment law.
