Fleet Operations Coordinator - Passenger Transport

Location: West London

Salary: £33,000 - £35,000 per annum (based on previous experience)

Hours: Monday to Friday, day shift (hours to be agreed)

Contract: Full-time, Permanent

The Opportunity

We are seeking an experienced Passenger Car Fleet Coordinator to join a busy passenger transport team. This is a live operations role requiring prior experience in passenger transport coordination, fleet management, chauffeur operations, or private hire dispatch. You will play a key role in supporting controllers, managing live journeys, and ensuring passengers receive a professional, timely service.

Key Responsibilities

  • Manage live passenger journeys, handling calls from customers, drivers, and call centres with accuracy and professionalism
  • Monitor and interpret flight schedules, proactively advising passengers of delays, diversions, or operational changes
  • Support controllers in fleet allocation, vehicle scheduling, and live operational flow
  • Maintain detailed and accurate records of journeys, bookings, and communications, ensuring compliance with company procedures
  • Assist with planning and coordination of passenger journeys in a fast-paced, live operations environment
  • Provide timely and accurate updates to internal teams and passengers, demonstrating strong operational awareness
  • Identify opportunities to improve operational processes and contribute to the continuous improvement of service standards

Experience-Focused Notes

  • Previous experience in passenger transport coordination, chauffeur operations, or private hire dispatch is essential
  • Applicants must demonstrate the ability to work under pressure, manage live operational changes, and make quick, informed decisions
  • Familiarity with fleet management systems, booking software, or dispatch platforms is highly desirable

  • Previous experience in passenger transport coordination, chauffeur operations, or private hire dispatch is essential
  • Demonstrated ability to manage live operations, monitor journeys, and make quick decisions under pressure
  • Proven track record in fleet allocation, scheduling, or operational control
  • Excellent communication skills with the ability to liaise professionally with customers, drivers, and internal teams
  • Highly organised with strong attention to detail and the ability to maintain accurate records in a live operations environment
  • Proactive, solutions-focused, and able to work independently while supporting a team
  • Comfortable handling VIP or high-priority passenger requirements and sensitive operational issues
