The Role

FACILITIES SUPERVISOR - Full Time Permanent

8am to 4:30pm, Monday to Friday. Some flexibility required to meet the needs of the school.

Out of hours cover required from time to time.

St George's School is seeking an organised and customer-focused Facilities Supervisor who will support the Head of Facilities by supervising our hard-working Facilities and Estate team to maintain a safe, secure and beautiful environment for staff, visitors, and students.

They will be responsible for managing the maintenance helpdesk and for ensuring that planned maintenance and compliance tasks are completed and recorded. Contractor management and oversight and delivery of the school's Estate maintenance plan and development projects are also key elements of this exciting role.

Main Responsibilities
  • Key Responsibilities:
    • Supervision
    • Take ownership of the School's Helpdesk Function, prioritising and delegating tasks, managing to completion and overseeing daily operations on site.
    • Allocate day to day assignments, to provide a high standard of service in relation to logistics, access and security related matters.
    • Supervise and allocate personnel to complete health and safety checks, contractor activity and monitoring of plant and equipment condition.
    • Site Maintenance and Compliance
    • Working with the Head of Facilities, ensure that planned preventative maintenance and compliance tasks are carried out as per maintenance schedule and logs are maintained.
    • Oversee general maintenance, including managing the maintenance helpdesk and ensuring that issues are resolved in a timely manner.
    • Manage external contractors, including obtaining quotes and ensuring value for money and service level agreements are achieved.
    • Carry out routine inspections of site to ensure that it is clean and presentable.
    • Assist Head of Facilities to ensure the site and buildings meet all legal and regulatory requirements.
    • Ensure the team and external contractors comply with health, safety and environmental regulations and school policies.
    • Facilities Coordination
    • Assist in the smooth running and management of the school's facilities and assist with operational matters as required.
    • Coordinate with various departments to ensure the effective use of space and resources.
    • Assist in the management of external lettings, including booking facilities and ensuring Facilities support is provided as needed.
    • Coordinate the school's bus bookings, including liaison with the bus management company for the daily school bus routes.
    • Coordinate office moves, space planning and minor refurbishment projects.
    • Create and monitor programmes of works during school holidays.
    • Manage document filing and retention for the Facilities team.
    • Manage the Facilities diary to keep it updated for all campus activities.
    • Oversee security of buildings including external monitoring and opening and closing procedures.
    • Assist with event planning, working with internal colleagues including Exams, Marketing and admissions, Heads of Departments etc. supporting set-up and support.
    • Liaise with external organisations regarding support services including but not limited to Edinburgh Council, bus management company etc.
    • Manage and assist team as required with room set up and moves as required.
    • Be part of the out of hours emergency site rota
    • Some minibus driving may be required
    • Any other reasonable duties as required by the Head of Facilities.
    • School Transport
    • Contract management and delivery of school transport, manage and monitor the transport provider and their performance and act as principal contact for this service.
    • Constant and clear communication required for both contractor and parents/guardians.
    • Work with the bus management company to ensure the system for bus bookings runs smoothly.
    • Book coaches for in house departments as and when required and coordinate.
    • Deal with parental requests, answer any queries including new bookings or block bookings.
    • Deal with any complaints or issues arising from transport.
    • Manage any issues such a delayed transport and communicate this with parents.
    • Send out notifications to parents via the bus management company as required.
    • Safeguarding
    • Always adhere to school policy on safeguarding and child protection and attend training as required.
    • Ensure all work done by external contractors operates within the school's policies on safeguarding and child protection.
