Facilities Coordinator (Industrial / Manufacturing Site) 
Aberdeen, Scotland
12-Month Fixed Term Contract
£16.83 - £18.50 per hour
Monday to Friday 40 hours per week
As Facilities Coordinator, you will support day to day facilities operations across a technically demanding environment, ensuring planned and reactive works are delivered effectively with minimal disruption to production.
Key Responsibilities Industrial Maintenance & Asset Management- Coordinate and oversee PPM schedules for critical assets
- Respond to reactive maintenance requests, diagnose initial issues, and coordinate appropriate technical resolution
- Use a CAFM system to log, track, and close work orders, maintaining accurate compliance and asset history records.
- Carry out regular site inspections, focusing on asset condition and HSEQ standards.
- Source and manage specialist contractors and technical vendors (electrical, mechanical, HVAC, lifting equipment, fire safety etc.).
- Produce scopes of work, review/challenge quotes, and support procurement to ensure value and technical suitability.
- Oversee contractors on site, ensuring works are completed to specification, quality standards, and HSEQ requirements.
- Ensure documentation is in place prior to works commencing (RAMS, insurance, certifications) and facilitate inductions/briefings.
- Support compliance with UK legislation and internal procedures relating to facilities operations.
- Assist with reviewing RAMS, particularly for high risk work (working at height, confined spaces, electrical/hot works).
- Support adherence to Permit to Work (PTW) and Lock Out Tag Out (LOTO) processes.
- Contribute to safety walk arounds and support investigations into facilities related incidents, implementing corrective actions.
- Liaise with production/engineering/operations teams to minimise disruption and maintain continuity.
- Support minor works and small projects (installations, upgrades, energy efficiency initiatives).
- Maintain accurate facilities documentation (service reports, logs, asset registers, drawings, certificates).
- Manage facilities related consumables and spares inventory.
- Minimum 3 years' experience in a facilities or maintenance coordination role within industrial / manufacturing / heavy engineering (or similar).
- Experience coordinating PPM and reactive maintenance
- Proven experience managing external contractors.
- Working knowledge of industrial HSEQ processes including PTW, LOTO, risk assessments and RAMS.
- Experience using CAFM systems for work orders, asset registers, and scheduling.
- Strong communication and organisational skills; confident managing multiple priorities.
- Proficient with Microsoft Office (Word, Excel, Outlook), particularly Excel.
- Technical qualification (e.g., NVQ Level 3/4, HNC/HND in Engineering/FM or similar).
- IOSH Managing Safely or NEBOSH General Certificate.
- Knowledge of LOLER, PUWER, Electricity at Work Regulations and/or high voltage systems compliance.
- Exposure to budget tracking and cost control.
