Job Description
About The Role

We're looking for a highly organised and detail focused Facilities and Property Services Administrator to support the smooth running of our central Property and Facilities function across our hospital portfolio. You'll play a key role in keeping our compliance records up to date, managing essential documentation, and supporting the wider team to maintain safe, efficient and well run sites.

This is a remote role, with an expectation to travel to the Reading office as and when required.

What you'll be doing
  • Managing and maintaining property, compliance and facilities documentation.
  • Tracking statutory certificates, monitoring expiry dates and supporting audits.
  • Coordinating with our third party FM provider and site teams to keep records accurate.
  • Supporting planned preventative maintenance (PPM) scheduling and SLA tracking.
  • Preparing reports, dashboards, meeting agendas and minutes.
  • Providing administrative support across facilities, property and project teams.
  • Assisting with asset registers and documentation for refurbishments and projects.
What we'll look for in you

With your experience in an administrative role within facilities, property, estates, or similar, you will also have:

Essential
  • Strong organisational skills and excellent attention to detail.
  • Confidence managing compliance records and multitasking across multiple sites.
  • Good communication and stakeholder coordination skills.
  • Proficiency in Microsoft Office, particularly Excel and digital filing systems.
  • FM/Business Administration or similar qualification
  • Health & Safety qualification (IOSH Managing Safely or NEBOSH General Certificate).
Desirable
  • Experience in healthcare or regulated environments, FM provider exposure, CAFM system knowledge, or audit support experience.
