Role overviewThe Part Time Facilities Administrator plays a critical role in ensuring that maintenance and reactive activities are tracked and completed to prevent breakdowns and ensure compliance with safety and operational standards. The role requires a solution driven attitude, with the ability to work in a fast paced environment.
Key Responsibilities- Assist with monitoring and managing the Penneys planning mailbox, responding to and completing client requests in a timely manner.
- Support the team with job allocation, tracking, and efficient closure of tasks and work orders.
- Raise reactive Purchase Orders as required and maintain accurate PO trackers.
- Support the team in querying, progressing, and closing work orders within agreed SLAs.
- Assist with invoice cross checks against PRIMMS orders, ensuring accuracy prior to approval.
- Participate in system training to maintain strong operational knowledge of Maximo and PRIMMS.
- Act as a key point of contact for subcontractors using the system, providing guidance and escalating technical issues where necessary.
- 2 - 4 years experience in a technical FM business including reactive, PPM operations, compliance, and H&S Management a distinct advantage.
- Excellent PC knowledge - MS Office Suite required.
