About the Role
We're looking for a highly organised and detail-driven Contracts & Export Coordinator to play a key role in managing our sales contracts and supporting the smooth delivery of our customer commitments.
In this role, you'll be at the heart of our operations - ensuring contracts are processed accurately, shipments are delivered on time, and compliance standards are upheld across the business. You'll work closely with multiple departments, customers, and external bodies, helping to deliver an exceptional service every time.
What You'll Be Doing
Contracts & Order Management
- Review and process sales contracts and orders within our MRP system
- Ensure all entries are accurate, compliant, and aligned with company procedures
- Maintain up-to-date contract files and departmental records
- Prepare and manage compliant shipping documentation
- Coordinate shipments from initiation through to successful delivery
- Work closely with internal teams to meet customer expectations
- Generate and submit accurate customer invoices in a timely manner
- Support the Finance team with payment tracking and queries
- Keep customers informed of delivery schedules and any updates
- Build strong relationships through clear, proactive communication
- Ensure all activities meet internal procedures and external regulatory requirements
- Maintain compliance with UK Export Controls, HMRC regulations, and Quality Management Systems
- Support adherence to ISO standards and audit requirements
- Manage UK Ministry of Defence processes, including:
- Shipment coordination
- Payment claims and records
- Completion of required documentation (e.g. Form 650)
- Contribute to export compliance across international shipments
- Export and shipping experience not essential as training will be given
