POSITION OVERVIEW
ICFO is led by an Executive Team including the Director, two Vice Directors, Chief Financial and Compliance Officer, and Chief Infrastructure Officer. This team is responsible for executing ICFO's mission to pursue disruptive science and technology and nurture the talents of all ICFOnians, with the purpose of improving the wellbeing of our society and planet.
We are seeking to appoint an Executive Officer to lead the coordination, execution, and follow-up of strategic and operational initiatives driven by the Director and Executive Team. The Executive Officer will ensure the efficient internal functioning of ICFO's leadership activities, strengthen communication and collaboration across the institution, and liaise with key external stakeholders including the ICFO Board of Trustees and ICFO Group Leaders.
KEY RESPONSIBILITIES
- Lead the coordination, delegation, and follow-up of strategic decisions and initiatives from the Director and Executive Team.
- Ensure operational follow-through of the Director's and Executive Team's priorities across the organization.
- Manage and supervise internal and external communications originating from the Director and Executive Team, ensuring clarity, consistency, and alignment with institutional priorities.
- Coordinate institutional relations and protocol, including institutional visits, interactions with the ICFO Board of Trustees, external partners, and governmental or funding bodies.
- Oversee and report on the progress of key institutional projects and strategic planning processes, organizational initiatives, and institutional projects, ensuring milestones and deliverables are met
- Track progress on leadership initiatives, report results to the Executive Team and recommend adjustments to improve performance and execution.
- Represent the Executive Team in internal or external meetings as needed, ensuring continuity of leadership actions and messaging.
- Facilitate cross-departmental collaboration, breaking down silos and ensuring organizational alignment with the Executive Team's priorities.
QUALIFICATIONS AND EXPERIENCE REQUIRED
- A University degree in a relevant field (e.g., science or engineering, public administration, management, science policy, business, or related disciplines).
- At least 5 years of progressively responsible experience in strategic or operational leadership roles, preferably within an international research or academic organization.
- Demonstrated experience leading teams, managing complex workflows, and delivering strategic initiatives successfully.
- Strong organizational skills, attention to detail, and the ability to oversee multiple initiatives simultaneously.
- Excellent communication skills in English, both written and verbal, with the ability to interact effectively with senior leadership and high-level stakeholders, lead cross-functional initiatives and deliver operational results.
- Strong project management skills, including planning, prioritization, risk management, and results tracking.
DESIRABLE QUALIFICATIONS
- Scientific, engineering or related background and/or experience with interacting with scientific or technical teams will be highly valued.
- Advanced degree (e.g., MBA, MPA, MSc in a related field) is a plus.
- Familiarity with the European research landscape or Spanish/Catalan public research institutions.
- Proficiency in Catalan and/or Spanish.
- Experience managing VIP visits, official delegations, or diplomatic protocols.
- Experience in strategic planning, performance measurement, organizational development, or change management.

CONDITIONS
This is a full-time permanent position. The contract offered will be interim if the Oferta Pública d'Ocupació is not approved at the time of incorporation.
A competitive salary within ICFO's salary scales will be offered, commensurate with the seniority of the applicant.
