About the RoleSwindon Academy is seeking a highly organised and proactive Educational Visits Coordinator & Reception Manager to play a vital role in supporting both our enrichment offer and day to day operations. This is a unique, dual focused role where you will:
- Lead the planning, coordination, and compliance of all educational visits (UK and overseas), ensuring they are safe, inclusive, and aligned with our curriculum
- Provide professional leadership to our reception team, ensuring a welcoming, efficient and safeguarding compliant front of house service
You will work closely with colleagues across the Academy, supporting staff in delivering high quality educational experiences beyond the classroom while maintaining the highest standards of safety, compliance and financial oversight.
Key Responsibilities- Coordinate and manage all educational visits, including approvals, bookings, and documentation using systems such as EVOLVE
- Ensure full compliance with safeguarding, health & safety, and statutory guidance
- Provide expert advice to staff on planning visits in line with OEAP and Trust guidance
- Manage trip finances, ensuring value for money and accurate reconciliation
- Promote inclusive access to trips, supporting disadvantaged pupils
- Line manage reception staff, overseeing rotas, performance and development
- Ensure professional, secure and safeguarding compliant visitor management processes
- Highly organised, detail focused and able to manage multiple priorities
- Strong communication and interpersonal skills
- Understanding of safeguarding and compliance responsibilities in an education setting
- Confidence managing systems, finances and administrative processes
- Experience of line managing staff (desirable)
