Job overviewClinical Support Administrator working within the Norfolk and Waveney Talking Therapies Service. Duties include call handling, inbox management, data entry and general administrative support to clinical teams and team leaders across Kings Lynn, Dereham and Norwich Central.
Main duties of the jobProvide secretarial/administrative support to the clinical multidisciplinary team, ensuring efficient service delivery.
Accurately input, retrieve and manage information in electronic systems used by the team.
Process patient referrals and liaise directly with General Practitioners and other clinical staff.
Communicate with clients, including handling urgent referrals and emergencies, and provide non clinical information such as appointment cancellations.
Maintain an efficient message and telephone call system and coordinate correspondence with the clinical team.
Maintain diary management for team members, including appointments, meetings, and regular commitments.
Ensure confidential information is retained and stored in line with Trust policy and mental health legislation.
Participate in audits, service development, and contribute to the development of policies and procedures.
Provide training to lower banded staff, conduct induction, support and advice for new or temporary staff.
Support line manager with supervision, key success factor appraisal and participate in KSF appraisal.
Cover for other administrative staff during holidays and sickness across the locality.
Maintain liaison with maintenance and IT departments regarding building and electronic equipment issues.
Be responsive, adaptable and flexible to service needs and working across the locality bases.
Person specification Experience- Minimum 2 years admin or NHS experience
- NVQ Level 3 Business Administration or equivalent, or working towards NVQ Level 2 Customer Services
- GCSE English and Maths, or equivalent Level 2 Diploma
- Excellent articulate communication skills
- Strong interpersonal skills, proactive diplomatic approach, confidentiality at all times
- Working knowledge of Microsoft packages
- Knowledge of NHS policy and procedures
