Business Management Officer (Personal Assistant) - EO

Location: London (Seacole Building, 2 Marsham Street, London SW1P 4DF)

  • Rate: £17.54
  • Monday-Friday, 37 hour per week
  • full time office based

If you're an organised, calm and proactive Personal Assistant who enjoys supporting senior leaders and keeping day-to-day operations running smoothly, this could be a great next step. Hiring for a reputed client, this is a full-time office-based role with hybrid working (2-3 days per week from London), offering a structured contract from 14 September 2026 with potential extension.

What you'll be doing:
  • Manage complex diaries, prioritise appointments and resolve scheduling conflicts
  • Coordinate meetings, forums, workshops and leadership events
  • Liaise with senior leadership teams and stakeholders to coordinate activities and communications
  • Monitor and manage shared mailboxes, responding to and allocating requests appropriately
  • Arrange meeting rooms and support hybrid and virtual meetings via Microsoft Teams
  • Facilitate meetings, including managing breakout rooms and supporting meeting logistics
  • Coordinate visitor arrangements and multi-site activities when required
  • Arrange travel, accommodation and the associated logistics
  • Prepare, collate and distribute meeting papers, agendas and supporting documentation
  • Produce newsletters, briefings, communications and meeting minutes
  • Create and distribute communications using Mailchimp and other communication platforms
  • Support onboarding and offboarding, coordinating IT and access requirements
  • Maintain accurate team records, trackers, distribution lists and organisational information
  • Resolve day-to-day queries and liaise with corporate service teams
  • Maintain SharePoint sites, databases and team records
  • Provide ad hoc administrative and office support as required
What you'll bring:
  • Experience providing administrative, personal assistant or executive support in a busy environment
  • Proven ability managing complex diaries and coordinating competing priorities
  • Experience supporting senior leaders and working with a range of stakeholders
  • Excellent organisational, communication and interpersonal skills
  • Strong Microsoft Office skills, including Outlook, Word, Excel, PowerPoint and Teams
  • Ability to work independently, manage multiple tasks and stay accurate
