The Proposals Coordinator role forms part of a dedicated Transport and Infrastructure Business Development and Proposals team, which is responsible for all aspects of work winning across the Roads, Civils and Intelligent Infrastructure (II) business units and multidisciplinary WSP pursuits.

The role encompasses support to work winning activities across the capture and convert phases of the WSP winning work lifecycle, coordinating the interfaces between business leaders, technical staff and others in the proposals team to produce high quality, compelling submissions. To be successful, the Proposals Coordinator needs to play an active key part in the development of well written, well presented materials and proposals content.

In addition, the role supports comprehensive work winning and business development activities that contribute to the growth and success of the Civil, Roads and II business units. This includes supporting business development operations such as effective content management, collateral maintenance, and supporting systems and pipeline administration.

A little more about your role

In this role, you will be helping to plan, develop and deliver responses to client procurements across the work winning lifecycle from capture to contract award; and assist with development, implementation and continuous improvement of work winning processes, collateral and best practice.

Proposal coordination & process management
  • Facilitating the delivery of bids or parts of bids/PQQs including proposal kick off and review meetings, coordinating document control and leading coordination of the proposal process.
  • Planning and facilitating adherence to programmes e.g from kick off to review meetings including all agenda, materials and outputs (minutes/actions).
  • Follow WSP best practice governance including supporting qualification, review and close out procedures (e.g lessons learned reviews).
  • Coordinate interfaces with the proposals team, other UK/global business streams and partners/ subconsultants.
  • Conducting market research and analysis, client and competitor intelligence for pursuits.
    Contributing to proposal winning strategies including deconstructs, SWOT analyses, proposal win themes and storyboard development.
  • Formulating overall structure of the proposal submission before writing starts - source existing material/best practice answers, develop answer plans.
  • Working with technical authors to convert knowledge into winning solutions and proposals.
  • Writing and supporting impactful, tailored, technically differentiated bid content, and creating visually compelling graphics.
  • Supporting project teams in preparation for client interviews including presentation development and coaching.
  • Collating proposal feedback from all members of the project proposal team for continuous improvement and emerging best practice.
Proposals operations and best practice
  • Acting as a hub of best practice and knowledge for proposals and business development across BUs.
  • Ensuring the WSP message and brand is promoted, including best practice materials such as CVs and project sheets.
  • Improving the quality and standards of proposal writing and production, promoting best practice for layout and content of all proposal submissions.
  • Administering Decision to Bid gateway process (supporting the business unit's leadership team), including maintaining log of minutes and archive, follow up actions.
  • Manage portals/client facing communication channels to progress pursuits.
  • Maintain an awareness of WSP's business strategy, services, people and projects to support the preparation of proposals and work winning strategies.
Business development
  • Support marketing and communications, including researching and drafting content for internal communications e.g people and project stories; and supporting external communications tasks e.g awards, events, and profile raising for our projects and people.
  • Prepare client facing materials e.g presentations, capability statements, and other marketing materials

Technical & sector knowledge
  • Knowledge and understanding of standard private and public sector proposal processes, with experience coordinating proposals, bids or work winning activities ideally within infrastructure consultancy or related sectors.
  • Accurate and proficient working knowledge in Microsoft office, Adobe suite, InDesign (desired) and graphics skills.
  • Excellent research and analytical skills - ability to interpret data and research into meaningful content.

Qualifications
  • Degree level qualification (any relevant discipline).
  • APMP Foundation (or willingness to obtain).
