Job Description

The post holder is responsible for managing processes and providing administrative/secretarial support for the Transfer of Care Hub, ensuring effective service delivery in partnership with local management teams. The role involves managing and monitoring performance objectives through clinical audits, data collection from EMIS, ESR, CRS, and MS Teams, and utilizing dashboards for reporting. The environment is busy and demanding, requiring flexibility, adaptability, and initiative for sound judgment. The post also entails managing service area performance, targets, and budgets via effective in-house systems, and ensuring accurate data capture and record keeping. Additionally, the post involves managing administrative cover during staff absences in conjunction with clinical leads.

Main duties of the job

To provide comprehensive administrative support for all aspects of service delivery, manage administrative issues as they arise, provide executive support to Department Leads, ensure adequate administrative staffing, develop reporting systems, and facilitate efficient patient management and support to the clinical team.

Job responsibilities

Provide patient care administrative support, coordinate with hospital and external services, handle enquiries confidentially, update EMIS, CRS, and MS Teams, and give feedback for service improvements. Ensure secretarial support for IDH, manage patient tracking, meet administration needs, support staff induction, assist with personnel issues, participate in rota planning, oversee service process improvements, conduct staff inductions, assist with recruitment, organize meetings, ensure compliance with policies, maintain confidentiality, support service development, analyze data, contribute to quality assurance, monitor complaints and incidents, and support financial management including invoicing and budget monitoring.

Person Specification
  • Extensive experience in data input and management, CRS, and EMIS
  • Experience in healthcare administration
  • Good communication and telephony skills
