Main duties of the jobAbout the Role:
The IHeart Admin& Driver plays a key role in supporting the effective delivery of the iHeart Service. The role ensures that operational processes run smoothly, information is accurately recorded, and clinicians are supported throughout the working day. Driver Admins additionally transport the locum GP to home visits, combining administrative responsibilities with safe and reliable driving duties.
Working within a defined administrative scope and under the direction of the Service Manager, the role contributes to improved access, enhanced patient experience, and efficient coordination across the Federation. The postholder supports communication, documentation, scheduling, and pathway based processes, ensuring the service operates safely, professionally, and in line with organisational standards.

Job responsibilitiesKey Responsibilities
Operational & Administrative Support
Manage day to day administrative tasks to support the IHeart Service.
Field calls from 111 and direct as appropriate.
Maintain accurate records, documentation, and system updates.
Coordinate schedules, visit information, and workflow tasks for clinicians.
Support onboarding, compliance checks, and communication with drivers and clinical staff.
Ensure information is captured, organised, and passed on correctly to support pathway based processes.
Assist with monitoring inboxes, responding to queries, and escalating issues appropriately.
Communication & Coordination
Act as a point of contact between clinicians, drivers, administrative teams, and senior staff.
Share updates clearly and promptly to maintain continuity and consistency.
Support effective communication across the service, ensuring timely escalation of concerns.
Contribute to a positive, professional, and collaborative working environment.
Driver Admin Responsibilities (Additional)
Safely transport the locum GP to and from home visits, following agreed routes and schedules.
Ensure the vehicle is road safe, clean, and appropriately maintained, reporting any issues promptly.
Support the GP during home visit workflows by managing administrative tasks before, during, and after visits.
Uphold patient confidentiality and professionalism when representing the service in the community.
Follow lone working and safety procedures, including check ins and dynamic risk assessments.
Service Quality & Improvement
Support optimisation of iHeart pathways and operational processes.
Participate in audits, quality improvement activities, and service evaluation.
Provide feedback on operational challenges and contribute to solutions.
Promote a culture of safety, learning, and continuous improvement.
Partnership & Multidisciplinary Working
Work collaboratively and closely with GPs, community teams, PCN staff, and wider Federation colleagues.
Support effective communication and coordination across services and partner organisations.
Contribute to meetings, briefings, and operational discussions as required.
Person Specification Qualifications- GCSE grade A to C in English and Maths
- Experience in administrative, customer service, or operational roles.
- Understanding of primary care, community services, or similar environments.
- Knowledge of safeguarding, confidentiality, and information governance.
- IT literacy, including use of digital systems and email.
- Full UK driving licence (for Driver Admin roles).
- Experience working in a healthcare or community based setting.
- Knowledge of risk management, lone working procedures, or service coordination.
- Familiarity with clinical systems (e.g., SystmOne/EMIS).
- Experience supporting multidisciplinary teams.
