We have an opportunity for a Band 3 Administrator to join our friendly and supportive Staff Seasonal Vaccination team.

You will play a key role in supporting the delivery of the Trust's Staff Seasonal Vaccination Programme by managing vaccination data, ensuring accuracy, and contributing to the smooth operational running of the campaign. Core hours are typically Monday to Friday, 8:00am-4:00pm, with flexibility required to support service needs.

We are looking for a highly motivated individual with excellent attention to detail, strong organisational skills and the ability to work both independently and collaboratively in a fast paced environment.

Main duties of the job

You will be responsible for the accurate collection, entry and management of staff vaccination data, ensuring all records are maintained securely and in line with confidentiality requirements.

Key aspects of the role include:

  • Data entry and validation across multiple systems.
  • Collecting, collating and scanning vaccination records.
  • Monitoring data quality, identifying trends and resolving discrepancies.
  • Producing regular updates and reports on vaccination uptake.
  • Managing inbox queries and supporting communication with peer vaccinators.
  • Providing administrative support to the vaccination campaign.

You will need excellent attention to detail, strong communication skills, the ability to prioritise workload and confidence working under pressure to meet deadlines.

Detailed job description and main responsibilities

The post holder will be responsible for collecting, processing and accurately inputting staff influenza vaccination data into relevant systems, maintaining secure, confidential and up-to-date records in line with Trust policies and GDPR requirements. This includes collecting, collating and scanning vaccination documentation to ensure complete and accurate records are maintained at all times.

They will work autonomously while supporting the effective delivery of the Staff Seasonal Vaccination Programme, processing and reviewing data to identify inconsistencies, trends or errors, and taking appropriate action. The role includes producing daily reports on vaccination uptake and highlighting risks or issues to the operational team.

The post holder will provide administrative and operational support to the programme, acting as a key point of contact for peer vaccinators and supporting effective communication across teams. They will also manage shared inboxes and respond to queries in a timely and professional manner.

The role involves predominantly office-based work, alongside cross-site working to support vaccination clinics and promotional activity across Trust locations. Hours: 37.5 hours per week, typically Monday to Friday 8:00am-4:00pm, with flexibility to support roving clinics and programme delivery across all sites. Base: Mainly based at Watford by cross-site working across all Trust locations may be required to support roving nurses.
