Job Description

Assistant Education Officer (SO1) - Admin & Clerical

Temporary Contract (3 months approx.)

KEY PURPOSE OF JOB:

Reporting to and assisting, the Education Services Officer, the Assistant Education Officer is responsible for the daily supervision and administration of Gallery Assistants in relation to education programming and events and individual work programmes.

The post holder has responsibility for organising cover for Front of House (Reception and Shop) areas as required. Responsibilities include ensuring staff and public safety and the security and cleanliness of facilities. He/she will be responsible for compiling a daily rota which allocates specific tasks to staff.

The post holder will also assist the Education Services Officer in the development of education support materials and related promotional materials in regard to visitor programming, education programming and special events. In the absence of the Education Services Officer duties will involve the supervision of education programmes and events.

The post holder will assume any other duties as may be assigned by the Education Services Officer, including cover for sickness leave, annual leave or staff vacancies.

KEY RESPONSIBILITIES

The post holder may not perform all of the listed duties and/or may be required to perform additional or different duties from those listed below to address business needs and changing business practices.

Supervise gallery staff on a daily basis in relation to bookings, programmes and events requirements.

Plan staffing needs and supervise individual staff work programmes. This includes cover for other Front of House operations such as reception and shop cover.

The post holder may also be required to cover these areas including, on occasion, casual Duty Officer duties. Maintain administration systems such as daily rota, records of leave / sickness absence and report on these as directed to the Education Services Officer.

Maintain visitor, stock / inventory, bookings and mailing, records and report on these as directed.

Give guided tours, talks and demonstrations at internal and external events.

Provide creative direction to Gallery Assistants in devising workshops to support programming and events. Reading up on background / research material and ensuring that Gallery Assistants have the knowledge and training necessary to deliver programming.

To assist with the setting up of spaces for exhibitions and events as directed. This may involve the carrying of equipment or furniture. This may involve weekend or evening work and an interchange of duties with other staff.

Assist the Education Services Officer in the development of programming and events and in the creation of support materials for these. This includes development of promotional materials and utilization of social media for marking purposes.

Supervise the cleaning, maintenance and security of areas for which responsibility is given. This includes highlighting deficiencies to the Education Services Officer and taking corrective action.

Accept and process income from events and supervise the handling of monies by Gallery Assistants.

To operate an Interchange of duties with the Assistant Education Officer (Castle Gardens) to cover sickness, holiday leave in order to ensure that the quality of Education Services is maintained.

Ensure all Health and Safety legislation, published relevant guidelines and Council Health and Safety policies are complied with in relation to the services and activities of the facility.

The post holder is also responsible for staff familiarization with Risk Assessments and making sure staff are briefed on these as required.

Any other duties related to the post as directed.

Note: The post holder should be aware that the responsibilities and functional areas of the post may be subject to change as a result of organisational change. The Council therefore reserves the right to change the duties of the post by adding to or amending the range of functional responsibilities. The post holder will be required to be flexible and adaptable to meet the changing needs and requirements of the organisation.

It is essential that applicants have a minimum of:

QUALIFICATIONS

A minimum of two A Levels (Grades A-C) or a relevant NVQ Level 3, or equivalent in History, Art or Education.

EXPERIENCE

1.2 A minimum of three years' experience of working in a supervisory capacity with a team of employees in a gallery, museum, historic building or other heritage or education facility.

A minimum of three years' experience working with the public in an arts, historical, education or crafts environment.

Where applicants do not hold the qualifications as outlined in 1.1 above, they must demonstrate a minimum of five years' experience as outlined in 1.2 and 1.3 above.

Knowledge:
1.4 Competent in the use of Word, Excel, Email, Photo Shop.

General:
1.5 It is essential that applicants hold a full (i.e. not provisional) and current UK driving licence and access to a car or have access to a means of transport which would enable the applicant to carry out the duties of the post.

Desirable Criteria:

A current First Aid qualification.

A Basic Sign Language qualification.

Hours of Work: Hours of work: 9am- 5pm each day Week 1 Monday - Saturday (Fri RDO) Week 2 Monday - Friday - 37 hours per week

Rate of Pay: £18.85 per hour plus accrued holiday pay
