Job Description

Highfield Healthcare is seeking a highly organized and motivated Administrative Officer / Medical Secretary to support the daily operations of its busy Day Clinic and Outpatient services in Lucan.

The successful candidate will play a key role in delivering efficient administrative and secretarial support to Consultant Psychiatrists, the clinical team, and the wider Patient Services department. This is a fast-paced, patient-focused role requiring strong organisational skills, attention to detail, and a professional approach to communication and service delivery.

Monday to Friday 9am to 5pm

Location

Unit 2, The Griffeen Centre, Lucan, Co. Dublin

Responsibilities
  • Manage front-of-house reception and act as the first point of contact
  • Support patient admissions, discharges, and transfers
  • Coordinate appointments, referrals, and outpatient clinic schedules
  • Maintain accurate patient records and ensure compliance with data protection regulations
  • Provide administrative and secretarial support to consultants and clinical teams
  • Handle insurance processing, billing, and follow-up on outstanding payments
  • Ensure timely communication with patients, families, and stakeholders
  • Assist with HRB submissions and administrative reporting
  • Contribute to team projects and support training of new staff
Eligibility Criteria

Each candidate and every person holding office must:

  • Possess minimum Leaving Certificate. Medical Secretarial Qualification is a distinct advantage.
  • Minimum 2 years' experience in an administrative/secretarial role required.
  • Have excellent PC, MS Office, typing skills
  • Have excellent PowerPoint skills
  • Be customer-oriented and of good character
  • Have a proven ability to work in a busy environment, multi-task and prioritise effectively while maintaining excellent standards of service delivery
  • Display a friendly and outgoing disposition as well as an ability to remain calm and effectively manage in an emergency
  • Excellent communication, interpersonal skills and telephone manner required
  • Ability to work on own initiative essential as well as part of a dynamic team and enjoy change and development is a bonus.
  • Flexibility will be required with respect to working hours and assigned tasks and duties

  • Previous experience working in a busy medical administration role
