Job Description

Thermal Works LLC has an exciting opportunity for an Administrative Coordinator - EU Support, a professional who will be the first point of contact for Thermal Works European customers and staff, coordinating daily operations. The daily duties will include managing schedules and workflow, handling administrative tasks, and coordinating internal communication across departments. The ideal candidate will be proficient in English, Spanish, and Catalan at a minimum, a tech-savvy professional with prior experience in office management, client communication, and technical coordination. Must have excellent verbal and written communication skills and have a knack for problem-solving.

Key Responsibilities

Include but are not limited to:

  • Administrative support to company leadership, including scheduling calls, managing calendars, and following up on appointments and meetings
  • Act as the main point of contact for EU-based customers, handling inbound calls and coordinating communications
  • Maintain organized records and support documentation management across teams
  • Assist in preparing internal reports, presentations, and customer-facing materials
  • Organize and supervise other office activities (recycling, renovations, event planning, etc.)
  • Coordinate logistics and meeting agendas, including follow-ups and action tracking
  • Support interdepartmental communication for projects and operational updates
  • Handle general administrative duties, including travel planning and CRM data entry
  • Occasional travel as required to support customer sites and company events


Skills & Requirements

Education / Experience

  • Bachelor's degree in Administration, Economics, or an equivalent field of study
  • Minimum of 5+ years' experience in an administrative coordinator role, preferably with data centers
  • Prior experience in technical, engineering, data center, or energy sectors


Specific Skills/ Abilities

  • Proficient in Microsoft Office, SharePoint, and Adobe tools
  • Proficient in English, Spanish, and Catalan
  • High attention to detail, pro-activity, and ability to multitask with strong interpersonal, organizational, and problem-solving skills
  • Proven commitment to customer service excellence with exposure to international sales operations
  • Very good attitude towards changes in procedures, systems, etc., and embracing them and promoting them within the organization
  • Prior exposure to customer support or sales operations for international clients
  • Self-starter who works well independently and across departments
  • Travel to Thermal Works headquarters in the United States for training and periodic in-person meetings
  • Travel within the European region where business opportunities may arise
  • Flexible working hours to support Thermal Works global operations
