A bit about the ServiceOur local friendly team at Birmingham Community Children's Centre provides services for children and families. In the last year we supported 595 children and families. We are on the lookout for someone who is passionate and wants to join us in making a difference by listening to the child's voice first and doing what is right.
We work in partnership with Health, Care, Education, and others including local children centres, welfare support and other voluntary organisations.
Our services include child and family health services; parenting programmes and antenatal support; early year's education services, such as 'stay and play' sessions; speech and language support and family learning.
During the last year we supported over 500 children. We want someone who is passionate and wants to join us in making a difference by listening to the child's voice first and doing what is right.
In Addition, we offer support for parents with adult learning and employment support.
A bit about the roleWe're seeking an Administrative Assistant to join our dynamic team. You will be the first point of contact for children, young people, families, and professionals who contact the service, so will need to be approachable, compassionate, and empathetic whether communicating over the phone, by email or in person.
How you'll help to create brighter futures.- Minute local meetings, producing letters, reports and other documents using Information Technology
- Supporting Operations in Health and Safety tasks
- Working collaboratively as part of a team and provide help and support to other team members.
- Manage the reception front desk, ensuring a welcoming and efficient first point of contact for visitors and callers.
- Handle incoming calls and directing to the appropriate teams or services, ensuring smooth and efficient communication.
- Booking travel arrangements, accommodation, room bookings and appointments for members of the team.
- Keeping up-to-date and accurate records of financial transactions including the payment of invoices, purchase orders, holiday records and petty cash.
Our job description for the Administrative Assistant outlines the requirements of the role but the must-haves are:
- Business Administration S/NVQ Level 2 desirable or work-related experience.
- Confident communicator with the ability to deliver and manage basic written and oral communication effectively.
- Organised and can prioritise your workload.
- A high understanding of Microsoft package specifically Word, Excel, and Outlook.
- Good attention to detail, highly organised and adaptable to accommodate the needs of the service.
- Experience of working independently to plan and manage your own workload to meet organisational deadlines and shared goals, will be essential.
- Be open to training in Health and Safety tasks.
Interviews will take place on Wednesday 1st April in Birmingham
We will actively support you in your role and provide you with relevant training, development, and supervision. This role will be based at Birmingham Community Children's Centre.
