This role plays a key part in ensuring the smooth coordination, documentation, and administrative execution of high-impact European initiatives focused on raw materials innovation and sustainability. You will support multi-stakeholder programmes involving industry, academia, and EU institutions, ensuring alignment between operational processes and strategic objectives. Acting as a central coordination point, you will help maintain accurate records, prepare committee materials, and facilitate communication across international partners. The environment is highly collaborative, structured, and mission-driven, with strong exposure to European-level programmes and policy frameworks. You will contribute directly to the efficiency and transparency of investment pipelines, governance processes, and stakeholder engagement activities. This is a detail-oriented role where precision, organisation, and communication skills are essential to enabling large-scale initiatives.

Accountabilities

You will provide comprehensive administrative and coordination support across international programmes, ensuring smooth execution of documentation, reporting, and stakeholder engagement activities.

  • Support international partnerships and investment cases by preparing reports, coordinating inputs, and organising meetings, site visits, and business missions
  • Assist in the implementation of policy and programme activities in alignment with organisational and European Commission requirements
  • Maintain and update stakeholder databases, ensuring accuracy, consistency, and compliance with data protection regulations
  • Manage investment pipeline documentation, including evaluations, contracts, NDAs, and related records in line with audit standards
  • Prepare committee packs, reports, and governance documentation for steering committees and business planning cycles
  • Handle incoming queries through shared inboxes, ensuring proper routing, tracking, and resolution
  • Support communications and dissemination activities in collaboration with communications teams, including web updates and campaign materials
Requirements

You bring solid administrative experience in complex, multi-stakeholder environments, with strong organisational skills and the ability to manage sensitive information with accuracy and discretion.

  • 3+ years of experience in administrative coordination or programme support within EU, public sector, international, or mission-driven environments
  • Experience preparing committee or board documentation, including version control, approvals, and structured reporting
  • Familiarity with EU institutions, governance processes, and formal communication protocols
  • Strong understanding and practical application of GDPR and data protection principles
  • Degree in administration, international relations, business, or a related field (or equivalent experience)
  • Excellent written and verbal communication skills in English, with strong document drafting and editing abilities
  • High attention to detail, strong organisational skills, and ability to manage multiple priorities
  • Stakeholder-focused mindset with confident and diplomatic communication abilities
  • Experience coordinating events, meetings, and logistics (travel, agendas, briefing materials)
  • Nice to have: experience with EU-funded programmes, committee secretariat work, or additional European languages (German or French)
