Job overviewWe are seeking a dedicated and organised Administration Assistant and Receptionist to join our busy school office team. In this varied role, you will provide high-quality administrative support while managing the school's reception area. You will play a key part in supporting staff and students by ensuring that all visitors have a great first impression of the school, maintaining records, and contributing to the smooth day-to-day running of the school.
Key Responsibilities- Act as the first point of contact on behalf of the school for all visitors, parents, deliveries and contractors; ensure meeting and greeting in a professional manner to provide a great impression of the school, and always follow the school's safeguarding procedures.
- Deal professionally, promptly and efficiently with incoming telephone calls, directing callers to the right person, taking messages and using judgement to screen calls if necessary.
- Use tact and diplomacy when handling complex reception/visitor matters in sometimes difficult circumstances.
- Be responsible for the smooth running and organisation of the reception area and all associated duties, ensuring the reception desk, outer area and small meeting room are neat and always safeguarding information security and confidentiality.
- Accurately record messages/incidents and ensure all messages are promptly conveyed to the right person.
- Take messages for staff, communicate them effectively, monitor the reception information email box and execute requests.
- Be able to use the Tannoy system in a clear and concise manner in emergencies.
- Open and distribute incoming mail, keep the franking machine topped up and ensure all outgoing mail has the correct postage for each day's Royal Mail collection.
- Deal with any local incoming/outgoing mail and deliveries, ensuring large items are dealt with and removed from the reception area by the site team as soon as possible.
- Maintain and print fire registers daily and attach them to clipboards for fire drills.
- Register students who are late in the morning after 8.45am.
