About the Role

As our Staffing Coordinator, you will be responsible for coordinating all staffing requirements across our afterschool centres and ensuring the smooth day-to-day operation of our programmes.

You will ensure staffing levels meet required child-to-staff ratios at all times while maintaining compliance with safeguarding standards and staffing regulations.

Key Responsibilities
  • Overall responsibility for scheduling staff across all afterschool centres to ensure staff-to-child ratios are maintained at all times and that adequate cover is provided in each centre as agreed with the Directors
  • Liaising with Centre Managers in a timely manner to advise on solutions for any anticipated staffing gaps
  • Creating rosters and staffing plans at least two weeks in advance for centres and the relief panel
  • Identifying and arranging cover for staffing gaps due to illness, holidays, or other absences
  • Ensuring all approved holidays are accurately reflected in the rosters provided by Managers
  • Updating rosters promptly when team member changes occur due to illness, leave, or other adjustments
  • Ensuring the relief panel is adequately staffed at all times
  • Reporting any concerns or breaches to the Manager of Operations as required on a daily basis, and at minimum once per week
  • Preparing a weekly report for the Senior Management Team
  • Liaising with the HR Manager as required
  • Managing and maintaining employee data within Workforce, ensuring all records are accurate and up to date

Your Profile
  • Previous experience managing multiple staff schedules is essential
  • Previous administration experience is essential
  • Experience working in an Irish childcare company or knowledge of childcare regulations is desirable
  • Excellent communication and collaboration skills
  • Ability to work in a fast-paced and ever-changing environment
  • Ability to work both independently and as part of a team
  • Strong written and verbal communication skills
  • Experience using CRM systems
  • Strong problem-solving skills and the ability to think quickly
Additional Requirements

All successful candidates will be required to complete Garda Vetting and provide a valid Police Clearance Certificate (applicable to candidates who have lived outside Ireland for more than 6 months since the age of 16).
